Depending on your payroll service and if the W-2's already been filed, either you can fix it or Intuit can perform the correction for you.

What to do if you pay and file manually with a Core, Premium, or Elite subscription:

  • If you find the mistake before filing their W-2, you don't need to create/file a W-2c form. You'll want to perform the following steps:
    1. Fix the issue in QuickBooks.
    2. File your W-2 forms as normal.
  • In the event this mistake was found after filing the W-2, you'll need to create and file a W-2c form with the Social Security Administration (SSA). To do this, review the General Instructions for Forms W-2 and W-3 on the Internal Revenue Service's website. You can use any necessary payroll reports to fill it out.

What to do if Intuit automatically pays and files for you with a Core, Premium, or Elite subscription
:

  • Since the process is automatic, you'll need to contact our Customer Care Team to request a correction. Intuit will fix it, file a W-2c with the SSA, then mail a copy of the form to your worker and yourself. The agent you work with can explain approximately when to expect it.

What to do if you're using an Enhanced plan or Intuit Online Payroll Enhanced
:

  • If you identify the problem before filing their W-2, it can be fixed in your product, then filed as normal.
  • In the event their W-2 has already been filed, you'll need to file a W-2c with the SSA. You can review the General Instructions for Forms W-2 and W-3 on the IRS's website.

I've included a couple detailed resources about working with W-2s that may come in handy moving forward:

I'll be here to help if there's any additional questions. Have an awesome day!
