Prior Years W-2's for SSA

We just discovered that the 2019 Part A of the W-2's were not filed electronically.  We now need to produce a paper copy to send into the SSA.  How do I get that information to print?

I'm here to ensure you can print your prior year's W2 forms, IOS1.

 

This way, you'll be able to send the copy to SSA. We can get the information in the archived forms window. 

 

Here's how: 

  1. Go to the Taxes menu.
  2. Choose the Payroll Tax tab.
  3. In the Form column, click the View and Print Archived Forms hyperlink under the Annual Forms section.
  4. In the Archive Forms window, filter Annual Tax Forms, then select W-2.
  5. Click the View button.
  6. Select the Print icon once ready.

In case you're still unable to locate the forms you need after performing the steps above, I'd recommend contacting our QuickBooks Online Support team. They have the tool to archive your prior W2 forms and guide you until you've successfully printed them.

 

Additionally, you can also pull up a variety of payroll reports in QuickBooks. This will give you a closer look at your employee's total wages, deductions, and tax information in a certain period. Here's an article you can refer to: Run payroll reports.

They are not in the archived data.  Every other year is except that one.

Thank you for letting me know about the results after following the suggestion shared by my colleague above. Normally, you can only view your old payroll forms after filing them in the system for a year or two.

 

With this, I'd recommend contacting our Customer Care Support. With their tools, one of our specialists can help you archive and view the old payroll forms you need. To contact our dedicated support:

  1. Go to Help.
  2. Select Contact Us.
  3. Enter View old payroll forms in the What can we help you with? field.
  4. Click Continue.
  5. Chose a channel where you want to connect with our specialists.

Dead in the water!  I spoke with a "Specialist" and because they were not e-filed or archived.  I can not access the information.   JUST  ONE MORE REASON TO MAKE ME HATE QUICKBOOKS ONLINE.

You can archive your 2019 W2 Part A and file it outside QuickBooks. This way, you'll be able to send the copy to SSA. I can guide you on how to do it.

 

Here's how: 

  1. Go to the Taxes menu.
  2. Choose the Payroll Tax tab.
  3. In the Form column, click the View and Print Archived Forms hyperlink under the Annual Forms section. 56 QBO Archive W2.PNG
