I have been able to use zeroes in the past in place of a Social Security number to transmit the W-2/W-3 Social Security files.  The workers have valid ITINs but not Social Security numbers.  SS Administration says to use

zeroes.  I was able to do that right up until last week.  Today I spent two hours on the phone with QBs and was told to contact my "State Agency" to request valid numbers.  I tried to explain that they are not eligible for Social Security numbers, that their ITINs which begin with "9" were assigned by the IRS for tax purposes.  I have used zeroes in the past, right up until last week.  Today I cannot.  There's been a change in the software that disallows the [removed] and numbers that begin with "9."  Any ideas how to fix this problem so that we can continue to transmit and pay taxes electronically?

I understand how important and convenient it is to transmit and pay taxes electronically. And I'm here to share some information about the Social Security Number (SSN) being used in transmitting the W-2 and W-3 security files in QuickBooks Desktop (QBDT) Payroll. 

I know that using zeroes as an alternative for SSN in QBDT has made filing and paying taxes easier, especially for those who are ineligible for SSN. However, there's been a software update that now requires a valid SSN in processing W-2 and W-3 in QBDT. In the meantime, I suggest paying taxes manually in your state agency.

So yesterday I inquired about the problem with ITIN numbers and using zeroes or "applied for" as we have in the past to generate W2 and W3 efile.  I was told that a change in the software no longer allows these options, that I needed to file the forms manually.  I have tried to generate the forms manually but I cannot because I need a number.  I can generate if I change the "9" to a "0" through "8."  I don't want to file with false social security numbers to make the situation worse.  These clients have paid payroll taxes all year and file tax returns.  How can I generate the manual forms with the correct numbers?  Contacting the State agency is not an option.  Please help

I've been going in circles trying to figure out how to generate the correct numbers to manually file the forms as suggested.  I can't move forward to generate the form unless I use a false number.  I don't want to make the situation worse by doing that.  These employees have paid payroll tax all year and need their W-2s to file tax returns.  Any ideas?

I wish you hadn't encountered such trouble paying taxes. Don't worry, I'm here to help clear things up for you.

 

As my peer mentioned, the software would now require a valid SSN when processing W-2s in QuickBooks Desktop. Instead of paying your taxes through QuickBooks, you'll need to do it at your state agency.

 

Moreover, when you pay taxes through QuickBooks, you can check your e-file or e-pay status if you haven't received a confirmation email.

I scan  a receipt to dropbox.  Then I drag my receipt to QB when I'm entering them.  My computer crashed and my husband bought me a new on and unfortunately had it set up with a new user name (I have no idea what my old user name was).  Now, I can't open any of the 1000's of attachments I have in QB because it states Warning "Failed to open file:"C\Users\my user name\Desktop\company name Dropbox\my name\Quickbooks Backup\23 Backup\attach\22-6-7 balance sheet error..\Txn\800118A7-1676318042\23-2-13 $565 Cann.pdf" The specific file was not found. I called Intuit and someone 'helped me' and restored from a backup and told me that I had to go back in and reattach all the prior attachments.  I have started that tedious process and now the new attachments can't be opened because I get a DIFFERENT warning message, this one states exactly the same thing as before but it has an additional line "Check if the file was moved, renamed or deleted." and it's from Foxit PDF Reader.  ALL of my attachments have always been in Foxit PDF Reader.  I have called Intuit now 4 times, twice with agents saying they can help me and I give them remote access and the other 2 have requested remote access then hang up.  I do have a case number, 1597289212.  I am now in the 45 minute que to have a callback...again.  Needless to say, I am quite frustrated.

I'm glad you chimed in on this thread, @Knuk5685. Let me discuss this transaction password in QuickBooks Desktop (QBDT).

 

If you mean requiring a password to protect your transactions, QuickBooks offers an option that locks your data and prevents any account changes before the closing date.

 

You can set a closing date and password in QBDT for Windows. Here's how:

 

  1. Open QuickBooks and sign in as the admin.
  2. Go to Company, and select Set Closing Date.
  3. Enter a Closing Date and Closing Date Password.
  4. Click OK.

Moreover, you can keep track of any changes to the entries in QuickBooks or check when they are created by running the Audit Trail report. See the screenshot below for a visual guide.
