After install 2020 for desktop I have a very hard time importing payroll from intuit online payroll. I imported from intuit online payroll into QB 2015 desktop for years with no problems. I get a message after trying import that I can not record a negitive deposit. Been fitting this for a few week now and have talked to the expert and they have had me try everything. Sometimes it works and sometimes not. Is there a fix yet?

The error "You cannot record a negative deposit." indicates that your company file is damaged. We can resolve the error you've encountered by running the Verify and Rebuild data. You can follow these steps:

  1. Go to the File menu. Hover your cursor to the Utilities and select Verify Data.
  2. QuickBooks will scan your file to see where the cause of the error.
  3. Select File menu again.
  4. Go to Utilities and select Rebuild Data.VerifyRebuild.PNG

Verified and rebuilt still get the warnings Can not record a negative deposit right after QB backup after importing from QB online payroll. Have done this Verified and rebuild many many many times after doing payroll. I keep getting the same warning. A while later I will try again and it will work. It happens every week on Saturday morning when I do payroll. What Should I try next?

Thank you for your prompt reply, as well as the additional information you provided.

 

I'd suggest you check the file in question that you're trying to import. See if there are any issues with the amounts listed, especially a negative deposit. 

 

In case you do find any issue, correct those first before attempting another import.

If you're using the new default import of an IIF file that may be the cause. There are quite a few issues with it.  If you bypass it and use the old, reliable IIF file import then it may work.

Good Morning 

I just read article on importing?? Not sure where to start. The only thing I have ever had to import is payroll form QB online payroll service. They give me the option to import paychecks and tax payments into my check register. I hit the import button, it then asks if I want to import, I accept, it then makes a backup of quickbooks , then starts import, then the "Warning you can not import a negative deposit. How do I get to where I use the old IIF import option

Where do I start to bypass new IIF import for the old ?

If you’re trying to get the IIF file that you’re trying to import, you can retrieve it from your Intuit Online Payroll account. That is in the Preferences in the Export section. You can open the file in your Downloads folder.

 

Here’s how:

  1. Go to the Payday tab, then Paycheck List.
  2. In the Export section, select Preferences.
  3. Select the paychecks you want to export.
  4. Select Export to generate the file.
  5. Open the file in your Downloads folder.

Please explain what to do to bypass New default IIF export to Mac so I can use the old export IIF that you mentioned. Quickbooks online payroll does not give me a choice. Export / import always worked with QB 2015 until I upgraded to QB 2020. The problems seems to be on the Quickbooks online payroll service, its won't work then it may work. Any suggestions.

The option to bypass the default IIF (Intuit Interchange Format) file when exporting to QuickBooks for Windows or Mac is unavailable. Usually, the error message for You cannot record a negative deposit can be resolved by verifying the integrity of the company file (as provided by my colleague).

I have spent more than a hour or two with payroll support, I have verified and rebuilt, and tried all thing suggested. Payroll info will export / import from payroll service to my desktop when it feels like doing so. After I do payroll and export won't work I will try it when every I walk back into office and It may fail and fail and fail and then work. When it fails I get the same "Warning you can not record a negative deposit"  There does not seem to be a pattern to this problem, the only thing that is consistant is that I do payroll on Saturdays and I usually get info imported before the next Saturday.

That is were I started last week and ended up here. They had me try several things that did not change anything. Export / import from QB online payroll services only work when when it wants to. I am the person that is having this problems. It all started when I went from QB 2015 for Mac desktop to QB 2020.

Some of Quickbooks Desktop (QBDT) 2020 for Mac users encountered this issue. I suggest updating your QBDT 2020 for Mac to QBDT 2020 R3 version. Updating the version resolved the negative deposit issue.
