There is no way to search the timesheet of employees more than a year old in the timesheet in Quickbooks online. I think they are working on it. You can visit their blog to see what's new in QuickBooks Online, as well as seeing what's coming in the future.

Yes, you can search timesheets back further than one year in QuickBooks Online (QBO), and I'm here to show you how, @ken11.
You can visit the Reports menu and pull up the Time Activities Detail report. Then, you'll have to set the Time Activity Date to either Last Year or the Custom option. This way, you're able to view your timesheets back for a year. Here's how:
I've attached a screenshot below that shows the last two steps.
You can also customize your Time Activities Detail report to focus on other details that matter the most to you. Then, memorized it to save its current customization settings.
Additionally, there are certain reports available for your version of QBO. To know the complete lists, you can refer to this article: Reports included in your QuickBooks Online subscription.

Yes, you can enter timesheets for employees from 2018.
Here's how:
1. Select + New.
2. Under Employees, select Weekly Timesheet.
3. From the small arrow ▼ icons, select the name of the employee or vendor and the week you want to record.
4. Complete the rest of the fields.
5. Note: To change the days available, select Settings ⚙ below the Total Hours.
• Customer or project. Select the customer or project you want to bill the activity to or track expenses.
• Service. Select the service that represents the activity.
• Billable. Select the checkbox and enter the rate, if you want to bill the activity to the customer.
• Location and Class. Check out how to turn on these features if they're not available.
• Description. Enter a description of the activity.
• Time Field. Enter the number of hours and minutes your employee or vendor worked on this activity.
6. Select Save.

Do I need to be logged in as an admin to do this or can I have the individual login under their account just to enter their time? The furthest back the dates go are 1/25/2021.

When entering past time entries in QuickBooks Online, you’ll want to log in as an admin. Only the QuickBooks administrator can perform this action.
