Can you override the amounts on the W2?

Hi there, @carladunlap.

 

QuickBooks Desktop has an option to override the amounts on the W-2 form. Please note that you're unable to file this form electronically if the overriding process is done. 

 

If the W-2 forms are not yet submitted to the IRS, here's what you need to do. Reprocess the W-2 and W-3 forms with the correct amounts and give those to your employee. 

 

However, if the forms are already filed to the IRS, here's what you need to do:

 

  1. Select Employees, then select the Payroll Center
  2. Choose the File forms tab, then click Anual Form W-2/W-3c - Corrected Wage and Tax Statement and hit Create Form
  3. Choose either All employees or only a specific employee, then select a filling period and hit OK.
  4. In Select Employees for Form, W-2/W-3, pick the employees who should receive a W-2c then tap Review/Edit.
  5. Answer the questions and click Next.
  6. On the Form W-2c Worksheet put a checkmark in Check if this is a W-2c(corrected W-2), then correct the amounts. Fill out the columns for both the Previously reported and the Correct Information so that you can print the form. 
  7. Erase the other lines that are already correct by right-clicking on the amount/figure and selecting Override.
  8. Tap OK.

Once doneissue a W-2c form to each of your employees who received an incorrect W-2 form. If the employee has already filed a tax return with an incorrect W-2, they must file an amended return using Form 1040X and the corrected Form W-2.

Really?  When did that happen?  That was never a rule before...

 

Do you have documentation for the feature that indicates this, for QB Desktop Payroll?
