Does QB send Copy A to Social Security Admin? I am confused.

Welcome to the Community! I'm here to share some information on how W2 Copy A is e-Filed via QuickBooks Online.

 

Yes, QuickBooks does send Copy A to Social Security Administration (SSA) after you finished preparing your W2 form. Here's how it works:

  1. Click Taxes.
  2. Choose Payroll Tax.
  3. Under Form section, click Annual Forms.
  4. In the Annual Tax forms, click W-2, Copies A & D link.
  5. Put a check mark on the tick box for File Electronically.
  6. To authorize QuickBooks Online to file Copy A of Form W-2 electronically for you, click the Submit button.

That would do it! This will get you on the right track.

I am not seeing a check box for "file electronically" in that section.  Does that mean that it has been submitted?  I was waiting to submit  Copy A until I had printed everything but when I went back to submit it, I can't figure out how to do that.  Did it get submitted automatically when I printed the W-2s?"

To better assist you, I'm going to need some more information. What type of Payroll are you using and what type of QuickBooks Online subscription do you have? If I don't provide the proper information, leave a comment with more details. I'll keep an eye out for a response.

 

Intuit files your W-2s and W-3s automatically if you have any of the following products:

  • QuickBooks Online Core
  • QuickBooks Online Premium
  • QuickBooks Online Elite
  • Intuit or QuickBooks Full Service Payroll
  • QuickBooks Desktop Assisted Payroll

Here are a few articles that you may find helpful when you go to file your W-2s:

 

After you process your Forms W-2 and send the information to us, you may notice that the filing status in your Online Payroll account displays "Submitted" or "In Progress." As long as you click Submit two business days before the January 31st deadline, the SSA will consider your submission on time. Here are the statuses:

  • Submitted: We have received your W-2 for processing
  • In Progress: We start sending W-2 information to the agency in mid-January. Once your W-2 has been sent, it will show in this status
  • Completed: The SSA has accepted your W-2. We'll send you an email notification when this happens.

I can show you how we can print and manually file your Form W-2.

 

QuickBooks Online doesn't support the late filing of forms for it can be subject to penalties. I recommend reaching out to the IRS for more details about the late filing of your forms. 

 

In QuickBooks, we can generate payroll reports that will help you fill out the form. You can print the Form W-2 and manually mail it to the IRS.  For more details in handling tax forms and filings, you can use these links:

Do these steps fall under QB Desktop or Online?  I don't see "forms" as an option after clicking payroll tax.
