Edit Workers Compensation Code

QuickBooks Desktop Pro 2018: When editing a workers comp code, I put the start date 7/17/18 and hit ok.  Then I realized this was the wrong date.  When I go back into that same code to fix it, I can't change the date to 5/17/18.  Is there anyway to fix this date?

I can provide some insights about editing the Worker Compensation Code date in QuickBooks Desktop. 

 

The program allows you to modify the Workers Comp Code settings once, which is why the start date can no longer be changed to 5/7/18. It's only the name and description you're able to alter multiple times.

Edit Workers Compensation Code

Thank you for replying.  I called in to the payroll help desk but they said they couldn't change it.  :(  The customer service guy was connected to my QB on my computer but said there wasn't a way to change the date back to 5/18/18.  Do you know of a way to change it?

I appreciate you reaching back out to us here in the Community. Allow me to provide additional information about changing Workers Compensation Code's date in QuickBooks Desktop. 

 

 

As mention by my peer @VivienJ above, the program will only allow you to modify the Workers Comp Code settings once. This means that changing the date on your set up from 5/17/18 to 7/17/18 isn't an option for us. However, I'd suggest sending feedback to our Product Developers so they'll be able to know those features/options that your business needs the most. 

 

To do that:

  1. Click on Help at the top menu bar.
  2. Select on Send Feedback Online.
  3. Click on Product Suggestion.
  4. Enter your feedback.
  5. Click on Send Suggestion.

This way we'll be able to determine how we can help you run your business easier.

Edit Workers Compensation Code

Did you ever find a solution? I have the same issue. The date is set, and Quickbooks will not allow me to correct it, making an already frustrating situation even more so.

Edit Workers Compensation Code

 Let me help you with this, @SaraBee.

 

You can update your Workers Compensation Setup to remove the assigned code. This way, you can enter the correct date in QuickBooks. I'll guide you how:

 

  1. Go to the Employees menu.
  2. Select Workers Compensation.
  3. Choose Manually Track Existing Workers' Comp Policy.
  4. Click the Next button until you can view the Set Employee Default Job Classification Codes window.
  5. Remove the code on each employee. Highlight the code, then press the Delete key.
  6. Click the Next button.
  7. Select Finish once done.

Thank you for responding, @JoesemM. I think I understand the steps you discussed, but I have some additional questions:

 

  1. After following Steps 1-7, would I then re-create the code with the corrected information?
  2. If so, would I make manual liability adjustments for each payroll that has already been processed? (...and if not, what would the next step be?)
  3. Will the new rate apply to future payrolls automatically, or will I need to manually calculate and adjust liabilities for the remainder of the policy term?

As mentioned by my colleague, recreate the code, and enter the correct one. This is to ensure you can enter the correct date. Then, perform a manual adjustment to keep your payroll records in order. 

 

We’ll have to do this per employee to get an accurate amount. Also, the new rate will automatically apply to future payroll.


To start, pull up the Payroll Summary Report and select a per quarter date range to get the accurate amount for the employees affected. Here's how to open it.

 

  1. Go to the Reports menu at the top and choose Employees & Payroll to select Payroll Summary.
  2. From the Dates drop-down, pick the specific quarter
  3. Hit the Refresh button.
  4. Next, click the amount for the payroll item beside the worker's name to see the complete details.
  5. On the Transactions by Payroll item page, navigate to the Wage Base column and take note of the total amount.
  6. Then, multiply the Wage Base amount to the rate.    
  7. Continue performing this process to all the employees you’re working on.

Once you have all the information, you can start creating liability adjustment. Here’s how:

 

  1. Tap the Employees menu and pick Payroll Taxes and Liabilities to select Adjust Payroll Liabilities.liab.png
  2. In the Liability Adjustment window, use the same date as the last paycheck of the affected quarter. Otherwise, enter today's date if you’re working on the current quarter.
  3. The Effective Date is used to calculate amounts on your 940 and 941 forms as well as the Payroll Liability Balances Report.
  4. In the Adjustment is for section, tick the box for Employee and choose the worker’s name from the drop-down.
  5. In the Item Name drop-down, pick Workers Compensation and type the adjusted figure in the Amount column.wc.png
  6. Click the Accounts Affected button to choose any of the following:
    Do not affect accounts to leave balances unchanged for the liability and expense accounts. The adjustment will only change the year-to-date amounts on your payroll reports.
    Affect liability and expense accounts to enter an adjusting transaction in the liability and expense accounts.
  7. Hit the OK button and press Next Adjustment to continue.
