I am trying to print my employee W2s so I can mail them BEFORE 1/31/2022.
I have my Quickbooks Payroll set to file and pay taxes automatically. When I go to filings, and W-2 copies B, C & 2s, it says 'ready to send' under filing status, and 'filing automatically 1/31/2022' under Due. When I go to preview to try and print the W2s, they say 'Draft Copy: Do Not File" across them so they are unusable.
How can I print the W2s so I can mail them out before the deadline? I didn't put in any employee emails, so I'm not sure where it thinks it going to auto file them?
Nothing comes up under archived forms. Thanks!
Good day, @rmbuilder. I'm here to help you with your tax forms. Helping you get those W-2's printed is my top priority.
The timing of your W-2s depends on if you chose to have us pay and file your federal and state payroll taxes for you or if you opted to pay and file them yourself. Also, the starting date in viewing the said form is January 13, 2021. With this, I'd suggest waiting for 2 to 3 days more.
Starting January 10, if you enabled auto pay and filed, we will mail W-2s directly to your employees' home addresses. They can also see copies of their W-2s online if you've set up QuickBooks Workforce. On the other hand, you'll need to print and mail the W-2s to your employees if you've turned off auto pay and file. The W-2s must be postmarked by January 31.
Before printing, we recommend that you purchase W-2 kits from us. This ensures they will be printed correctly.
The W-2 form for your employees can be printed using QuickBooks's Payroll Tax section. However, let’s make sure first to set or change your print preferences.
Here’s how to print them:
I've added some snapshots below for your preference:

My screen does not look like yours.
I have a separate quickbooks account for a retail business I've had for more than 10 years (and also used Quickbooks for it for over 10 years), it looks like your screen and I have no issue finding and printing things, so I do know how most of quickbooks works. With this issue, it is a different company and am just using quickbooks for payroll. It is not letting me print those w2s. If I go to payroll settings there is nowhere that I can select a w2 print preference. It also will not let me change my tax payments from auto to manual, it says I have to wait until Feb.
I want to be able to submit and print my w2s now, not wait until Jan 31st.
In my experience, its best not to wait until the deadline to submit these things.
Hello there, rmbuilder.
I'll help you figure this out.
You are using a Full-service payroll. That's why you have a different screen compared to what my colleague provided. That said, you may contact our Payroll support team to help you with printing your W-2s. You can use this article for detailed instructions on reaching out to them: Contact Payroll Support.
