Currently, we're unable to link payroll to projects in QuickBooks Online.
You have to create a transaction to allocate employee's wage expenses to their respective project. I would suggest checking this video: How to Use QuickBooks Projects to Track Project Income & Costs (w/ QuickBooks Online Payroll).
Additionally, You can refer to this article to find out more answers about what you can do in Projects: Projects FAQ.
Please let me know if you have more questions. I'll be happy to help. Stay safe and healthy!
Hi Chris,
I apologize for not being specific in my initial post/question!
I do understand that QuickBooks projects are not correlated with payroll and it is just the wages that are recorded. But for the past 2-3 pay periods, the wages have not been recording properly within some of the projects like it was doing before.
For example, we pay employees every Friday and there are missing check dates within the project: 4/24, 5/01, and 5/08. I do see a couple of projects that recorded some employee's wages underneath the project for this pay date, 5/08.
We have recently implemented the projects' functionality for a couple of months and we have not experienced this issue before.
I've attached an example of the latest dates on the project. There are supposed to be dates for 4/24, 5/01, and 5/08.
Please let me know if you have any questions and any insight that may help.
Thanks in advance!

Jovychris_A: You said currently we cannot link Payroll with Projects. I'm not sure what you mean by that??
Because we DO show our Payroll in projects when we enter the project in the time sheet (our Payroll is in Cost of Goods).
However, I came here because we are having a problem with consistency in QBO. I just spent the last 2 hours going through time sheets and projects to try to determine why some paychecks are posting to projects and some are not. There is nothing we are doing differently in time sheets / payroll between the instances when payroll DOES post to the project expenses and when it does NOT post to the project expenses.
Is this a known issue in QBO Projects?
Please advise ASAP - I have a client who has asked me why a recent paycheck didn't post to a specific project. He is depending on QBO giving him accurate Project Expenses and now I am going to have to tell him that I found there are additional occurrences of payroll not booking to a project!!
Hello there, LRCBusiness.
I've checked for similar reported issues on our list and didn't find any. We can review each time activity if it's posted to the correct employee and project. It's also possible that a browser-related issue caused some payroll doesn't post to project expenses.
We can verify that by logging in to your account through a private browser. There are times that the main browser stores internet or cache files, and once stored frequently visited sites such as QuickBooks can't function well. Then, look into your project expense and time activity. You can view it by week or month then Group by the employee.
If time activity and expenses posted as expected, we can clear the cache by going back to the main browser. You can also visit QuickBooks on any of our supported browsers since they store different cache files.
If the same thing happens, I'd suggest reaching out to us so we can further investigate why there are inconsistencies in syncing payroll and project expenses. You can follow the steps provided by my colleague on how to contact us. To ensure we address your concern on time, check out our support hours.
I'm just around if you need more help. You take care always and have a great day!
I have just wasted nearly 3 hours of my time on phone with Q.Books Support regarding this issue.
I work exclusively with contractors using Projects. My clients using Projects with QuickBooks Payroll see 100% of their cost in Projects including payroll cost. Working great!
However, on my QBOA account which in on Payroll Elite, this feature stopped after my last paycheck of 4/10/20.
I was told that because I am a QBOA on a newer version, this feature is going away. Are you kidding? All of the happy companies who currently have the ability to run Profitability reports by Project are going to lose this feature? This makes no sense at all.
My file shows right now, for some customers using Projects we are getting exactly the financial data we expect.
QuickBooks please do not change this.
