Thanks for checking this out with us, @kelly87,
You can reset a QuickBooks Workforce account by deleting an employees profile. To do that, follow the steps below:
If you want to invite them again, go back to the same page. You will see there an option to Resend Invite or change their email to a new one.
For other Workforce questions, chat with us so we can help. We are available from Monday through Friday, 6:00 AM to 6:00 PM PT.

My Employee cannot "reset" his password to his Workforce. Unfortunately, he owns a new phone with a new phone number... so when he resets, whatever phone number he entered when signing up with Workforce is either useless, or the reset link is being given to an unauthorized person who now has that phone number.
There is no "Revoke Access" on the Payroll/Employee/Personal window on my QB desktop, nor are they located on the other tabs.
I am also unable to "Reinvite" to reset my Employee's access to his Workforce on the iCloud Services like I used to a year ago.
Is there a Plan C?
Thanks for taking the time to post here, @sherylc,
Don't worry, we can get the employee access his account again.
If the employee is no longer possess the phone number used for his Workforce account, I recommend contacting our Payroll Team. They can reset the a W-2 employees access so he can create a new one.

Kindly post an update here after calling our support. I want to make sure this is taken care of and I'll be right here if you need further help with QuickBooks Workforce. Have a nice day!
Sorry for the delayed reply... I contacted Payroll Team support, and after 4-5 transfers... I needed this much time to cool off because none were able to effectively help me reset W-2 access employees. The last support team member hung up on me. Please tell me a more efficient and more effective strategy than calling support. There has to be a way in my desktop to control Workforce access. Why were options A and B taken out?
Good day, sherylc.
This is not the service that we want you to encounter. Part of my job is to ensure we're able to assist our customers properly in a manner that your experience is marked as outstanding. That being said, I'd like to provide assistance in resetting the employee's access for their W-2.
When an employee forgets the user ID or password when logging into the Workforce page, all they have to do is select the I forgot my user ID or password link and follow the onscreen instructions.
To know more about how the workforce works in QuickBooks Desktop, please visit this article: View your paychecks and W-2s in QuickBooks Workforce. This will provide you steps on where you can change the email address as well as a link to get in touch with our Payroll Team.
Let me know how it goes by leaving a reply below. I want to make sure you're able to reset the employee's access. I'll be right here if you need anything else. Have a good one!
That's correct... but if you remember, the Employee owns a new phone with a new phone number... so when he resets, whatever phone number he entered when signing up with Workforce is either useless, or the reset link is being given to an unauthorized person who now has that phone number. He as is also having a not so great experience when he calls support. Is there a way to reset the Workforce password on my end. It has been done in the past, but these two functions have been taken out as far as 2019 Premier Desktop is concerned.
I can see the urgency of this situation, @sherylc.
I've got some insights to make sure your employee can access his/her account without delay.
Resetting your employee's Workforce password needs checking of his/her account. I'd love to take care of it myself, however, we're unable to it here since this is a public space for security reasons. With this, I highly recommend reaching out to our payroll support team. They use a specific tool to help you reset your employee's password so he/she can access his/her account. To connect with them, please refer to the outlined steps provided by my colleague, Jen_D.
Also, I encourage you to visit our QBDT Help page, so you can browse articles or even questions of other QuickBooks users that were answered by QuickBooks experts. This will help you earn more QuickBooks knowledge that can help you with your accounting tasks.
Let me know how this goes and feel free to post again here if you have further questions about managing your employee's Workforce account. I'm always around to help. Have a good one.
UPDATE:
Go to EMPLOYEES
Select MANAGE PAYROLL CLOUD SERVICES
Click on INVITE EMPLOYEES
Login with your username and password
Fine and Select the CHECKBOX located on right side of employee's name and SEND INVITE.
Correction: Checkbox is on the left side of employees name.
How do you reset employee access in Quickbooks Desktop ?
On the top bar of Desktop:
Go to EMPLOYEES
Select MANAGE PAYROLL CLOUD SERVICES
Click on INVITE EMPLOYEES for your Quickbooks Workforce
Login with your username and password
Locate the Employee you want to invite.
-On the "left" side of employee's name is a square box. Go ahead and click inside that box to highlight the employee's name.
Once you've selected your employee(s), click SEND INVITE.
This only works if status shows "Invited" or "Not Invited"
If status shows "Signed Up", unfortunately the employee has to call the 1-800 number themselves.
Sherylc do you happen to know what is the 1-800 number the employee would need to call in order to regain access to their Workforce account since their status shows "Signed up?" Thank you.
It says they are already signed up, with an old email address, so cannot do that.
I'm sorry. I didn't receive this message until today. I tried looking up the phone number, but I guess they took it off. Normally, after I've signed in thrice with errors, they would display the number. Have you tried the chat box?
Have you tried this link yet?
None of these "solutions" work. I worked on it in my office for 45-60 minutes, then called support - waited 40 minutes for service - and got no help after 45 more minutes of support. My employee has a new phone number and cannot access his account.
Does your employee have gmail? If so, have them change their phone number on their google account. I have had employees do this, and it worked for them. Good luck!
Normally we login with our e-mail/password, but if the employee cannot remember their e-mail log in...
Go to support chat and request for an "invitation reset" for the employee. QB support will need to do this manually because they need to get a hold of Workforce to reset it.
This must be for QuickBooks online. How do I revoke access in QuickBooks desktop 2022 program. There is no revoke access under employee personal information in the desktop program.
Thanks for joining in the thread, @RUNGRMA. I'm here to route you to the best support available to assist you in removing an employee's QuickBooks Workforce (QB Workforce) access in QuickBooks Desktop (QBDT).
Currently, we're unable to revoke a specific employee's QB Workforce access manually from the personal information screen in QBDT. However, you can contact our customer support team for assistance. They have the necessary tools to help you in accomplishing this task. Since the Community is a public space, we are committed to safeguarding your account information.
To do that, go to this link: Chat with us. Then, fill out the form and click Start Chat.
Furthermore, you can run payroll reports to generate information about what you've paid out. This way, you'll gain insights into your employees' wages and contributions, which is helpful during the upcoming year-end tax filing.
Let me know whenever you have any follow-up concerns about QB Workforce. The Community is open around the clock to continue assisting you. Keep safe.
Did you ever get an answer. I also have an employee who changed a phone number and now can not access. I called quickbooks which was no help and have not been able to find a working answer to give the employee in the discussions I have read.
I called and Christine said they can not help with work force and there is not a telephone number. Does anyone have a number or has anyone had success when the employee has changed their number and does not have access to the old number?
Hello there. Allow me to assist your employee in recovering their Workforce account, Lisa.
I appreciate your efforts in contacting our Live Support Team. Your employee has two options if they require assistance with updating the mobile number setup for Workforce:
To submit an account recovery request, let your employee use the account recovery form in this article: Recover your Intuit Account if you can’t sign in. Then, we'll process your request within one business day.
Furthermore, I'll provide you with these articles that will guide you in inviting employees and explaining how they can access their pay stubs:
Respond to this message if you have any additional concerns. I want to ensure this matter is addressed. Rest assured, I'm available around the clock to offer assistance with QuickBooks Workforce.
My screen does not have a revoke access option.
