How to go around State EIN Requirement when filing w2?

When I'm trying to file W2 forms I encounter this message:

"We can't send this filing yet
You'll be prompted to enter state employer identification numbers (EINs) for states that do not have one. If you've already entered an EIN for each state in which you paid wages, change your State EIN Requirement Setting for W-2 Forms. Before QuickBooks can create this form, you must enter your NJ Employer Registration Number."

Where do I find "State EIN Requirement Setting for W-2 Forms"?

Thanks for checking in with us, startajewelry-il.

You'll need to contact your state agency to have your State EIN to send your W-2 forms. Once verified, you can click this article to see detailed steps on how to add your state account number:

  1. Sign in to QuickBooks Online as the Primary Admin.
  2. Go to Settings ⚙, then select Payroll Settings.
  3. Next to your state tax, select ✎ , or if you need to add your local tax account number, select your state local taxes link.
  4. Enter your Withholding, Unemployment Insurance, or local tax account number.
  5. Make sure your deposit frequency and any tax rates are added.
  6. Press Save.

Also, to register for state EIN or account number,

  • See the questions below the state EIN field on the State Taxes page of your payroll account for contact information specific to your state.
  • State registration forms are available in our product by going to Taxes & Forms, then choose Employer Setup.

Once we have your account numbers, go to Payroll and select Overview to review and complete any additional tax setup tasks such as e-sign authorization forms, register Intuit as your third-party administrator with your state, and connect your bank. To learn more about this one, check out this article: Add or change your payroll state account number

Here's an article that provides details about what a state employer identification number is, and how/where to obtain one: Set up employees and payroll taxes in a new state.

Please let me know if you hit any bumps along the way so I can assist you further. Always take care and have a nice day!

How to go around State EIN Requirement when filing w2?

I'm not required to file tax forms for the state in question so I will not be getting the EIN from that state, yet I do need to be able to submit the W-2 having the state in my account.

I had the same situation last year and I was able to submit the filing.

How to go around State EIN Requirement when filing w2?

I'm not required to submit tax forms for the state in question as I'm paying and filing taxes already with my primary state, state the business is located in. So I will not be getting EIN number from another state, yet I need to be able to file W-2.

How to go around State EIN Requirement when filing w2?

I understand your situation, @startajewelry-il. I'm here to direct you to the right support that can help you file your W-2.

It's possible to file W-2 forms without a State Employer Identification Number (SEIN) for a specific state. However, the exact process for doing so may vary depending on the specific requirements of the tax filing system you are using.

I recommend reaching out to the support team for the tax filing system you are using, as they can provide guidance on how to proceed with filing W-2 forms without a SEIN for a particular state. If you have any further questions or need additional assistance, feel free to ask.

Here’s how:

  1. Log in to your QuickBooks Online account.
  2. Select the Help (?) menu.
  3. In the Assistant window, type in “Talk to a human” in the field.
  4. Enter “Can’t enter my CA ID number,” then go to the Contact option.
  5. Choose a way to connect with us:
    • Start a chat with a support expert.
    • Get a callback from the next available expert.

Learn more about printing W-2 forms in QBO through this article: Print your W-2 forms.

In case you need a reference when filing W-2's, here's an article made handy for you: File your W-2 forms.

Thanks for reaching out to the Community, sreid.

The "We can't send this filing yet" message referenced in startajewelry-il's post is advising that your filing can't be sent until the New Jersey (NJ) Employer Registration Number has been entered and any state EINs updated if necessary.

You can check your state government's website(s), or get in touch with them directly, to look further into what criteria would make a business eligible to not need an EIN from a particular state, while being able to still file W-2s for these employees.

If you need assistance in confirming whether or not your business is eligible for specific things, I'd recommend working with a tax professional. If you're in need of one, there's an awesome tool on our website called Find a ProAdvisor. All ProAdvisors listed there are QuickBooks-certified and able to provide helpful insights for driving your business's success.

In the event you continue receive a message stating that you need to enter a NJ Employer Registration Number and to update state EINs or edit State EIN Requirement Settings, but you've confirmed that you don't need this for your business, you'll want to get in touch with our Customer Care team. They'll be able to pull up your account in a secure environment, conduct further research with you, and create an investigation ticket if necessary.

Please don't hesitate to send a reply if there's any additional questions. Have a lovely Wednesday!

Has this issue been fixed? I'm having the same issue. I've spoken with 4 different QBO agents about this, and no one has solved the issue; they hang up or disappear from the chat because they can't find a solution.

How to go around State EIN Requirement when filing w2?

Hi there, @VA_CPA.

Currently, when filing a W-2s form a pop-up appears stating a message shows up with an action the customer needs to take and a link to click"When clicked, the link takes them to a page with the error "We're sorry, we can't find the page you requested". I recommend contacting our live support to add your account to the affected users list. Just provide your updated email address, and the investigation number, INV-97858, to be notified through email.

As a workaround,

  1. Find the Gear icon.
  2. Select Payroll settings.
  3. Locate the setting that needs to be addressed.
  4. Select the Pencil icon to make your changes.
  5. Hit Done.

Additionally, If you need to print W-2s if you send paper copies to your employees, for your records, or a W-3 to send to your accountant: Print your W-2 and W-3 forms.

If you need more help managing your payroll, don't hesitate to click the reply button. I'm always around to help!

How to go around State EIN Requirement when filing w2?

I'm not sure if something changed because enough people brought this issue up, or if I just got lucky with the right online chat agent, but I raised this issue today and they were able to do something on the back end to get it resolved and I successfully filed my W2s. I referenced the response in this thread from the Quickbooks team (pasted below for reference) and I'm not sure if they were able to look at the ticket number and see a solution or what. I hope everyone who is struggling with this can get it resolved - I have no idea what changed this year!

In the online help forum, I saw this post from a Quickbooks admin, so it seems to be a known issue: "Currently, when filing a W-2s form a pop-up appears stating a message shows up with an action the customer needs to take and a link to click"When clicked, the link takes them to a page with the error "We're sorry, we can't find the page you requested".
