How to re-submit W2

Hello there, rastocan1.

I'm glad you've reached out to us. Let me help and walk you through on to resubmit the W-2 form.

You can resubmit the W2 with the following steps if the deadline has not been exceeded.

Here's how:
 

  1. Sign in to your QuickBooks Online account.
  2. Select Payroll, then Overview.
  3. From Tasks, select the Show more dropdown to view all forms due.
  4. Click W-2 Copies A & D, select File now.
  5. Choose Annual Forms, then W-2 Copies A & D.
  6. Select Continue.
  7. If prompted, tell us whether or not one or more employees were active participants in a retirement plan during the tax year.
  8. On the Employer Copies: Form W-2 page, select View to open Acrobat Reader.
  9. Review and print Copy D (Employer's copy) for your records.
  10. Click Submit to authorize us to file Copy A of Form W-2 electronically for you

How to re-submit W2

I only submitted 4 of my 10 w2 through E-filing them. Now it wont let me efile the others. The box is greyed out.  I am using desktop pro plus 2022.  What should I do?

How to re-submit W2

Hello there, @Krisco17. I'm here to help you with W2 in QuickBooks.

 

We can perform a few troubleshooting steps so we can successfully e-file your form, Dave.

 

Let's ensure that QuickBooks Desktop and both payroll tax tables are updated to the latest release. This way, recent features and fixes will be installed to help fix the issue. 

 

Here's how to update QuickBooks: 

 

  1. Go to the Help menu and select Update QuickBooks Desktop.
  2. From Update Now tab you can select the Reset Update checkbox to clear all previous update downloads.
  3. Select Get Updates to start the download.
  4. When the download finishes, restart QuickBooks.
  5. Accept the option to install the new release when prompted.
     

Then, you can follow these steps on how to electronically file your state W-2s and double-check the filing methods.

 

  1. Select Employees, and select Payroll Center
  2. From the File Forms tab, under Other Activities, select Manage Filing Methods
  3. Select Continue
  4. Select the state form you want to e-file, and then select Edit
  5. Select e-file, then select Finish
  6. Repeat steps 4-5 for each state form. 
  7. When you’re done, select Continue, then Finish

 

  1. Open your company file.
  2. Click the Employees menu and select Payroll Tax Forms & W-2s > Process Payroll Forms.
  3. Under the File Forms section, select the state worksheet.
  4. Review the Select Filing Period year and change if necessary.
  5. Click OK.
  6. Review and fill out the worksheet and select Check for errors to make sure everything is correct.
  7. Click E-file and enter your email address and contact info.
  8. Select Submit.
