Is there anyway to cancel direct deposit once processed and cut a check instead?

Hello, @lizkelsey8705.

You can cancel a direct deposit payroll depending on its paycheck date. Let me share some information on how it works.

Before anything else, I just want to inform  you that earlier this morning, we were alerted to a third-party issue with direct deposit processing that has delayed the deposit of employees' paychecks into their accounts. However, you need not to worry, the issue has been resolved. Your employees should expect to see the funds available in their bank account by end of the day today.

On the other hand, if you choose to continue with cancelling your employee's direct deposit paycheck, you'd want to consider the following:

  • For two-days lead time processing, make sure you delete it earlier than 5:00 PM Pacific Time, 2 banking days before the paycheck date.
  • For one-day lead time processing, make sure to delete it earlier than 5:00 PM Pacific Time, the day before the paycheck date.

If the paycheck has been processed beyond those lead time, we can no longer stop the direct deposit process. I'd recommend contacting our Payroll Support team. They have the tools to securely access your account and further assist you with the cancellation of the direct deposit.

On the other hand, you can also do an internal agreement with your employee. You can do either of the following:

  • You can either do an internal agreement to return the amount or request a direct deposit reversal. Here's an article for the instructions: Reverse a Direct Deposit.  Then, you can void the paycheck.
  • Inform the employee about the paycheck and will do an adjustment on the next payroll.

You can read through this article for more insights: Can I cancel Direct Deposit payments after they're sent?

Keep me posted if you have other questions. I'm always here to help.

I appreciate you chiming in on this thread and posting your concern, @Jewelb

I'd be delighted to assist you with canceling your direct deposit when you’re in the lead time process of your payroll service.

Beforehand, we may check the status of your payroll. Here’s how:

  1. Go to Settings, then Payroll settings.
  2. Scroll to the Direct Deposit section.

From there, you'll see your funding time is above your direct deposit limits.

If your payroll hasn’t been processed, you can delete or void the paycheck. Let me guide you on how:

  1. Go to Payroll, then select Employees.
  2. Select Paycheck list.
  3. Select the paycheck(s) you'd like to delete or void, then select Delete or Void.
  4. Click Yes.

Additionally, here’s an article you can refer to for more details on deleting employee paychecks: Delete or void employee paychecks

Also, visit this guide here to check your direct deposit funding time to see when your employees see funds in their accounts: View or change your direct deposit funding time.

Thanks for chiming in on this thread, @mjfoshee.

I'd be happy to walk you through how to find the settings menu in QuickBooks Online.

You'll be able to locate it in the upper right corner of your QBO. You can refer to this screenshot below for your reference:

From there, you'll be able to locate the Accounts and Settings and the Payroll Settings under Company.

Additionally, feel free to visit this article if you're referring to customizing your view in QBO: Understand the navigation menu in QuickBooks Online. It includes a detailed step-by-step procedure if you want to use the bookmark feature to shorten the steps for your most common QuickBooks tasks.

Please tag me if you have other concerns about managing your preferences, account, or QBO-related tasks. I'll get back to you as soon as possible. Stay safe, and enjoy navigating!

@jbresee17  They just mean that you can talk about the problem with your employee and come to an agreement with them.

Thanks for joining the Community and getting involved with this thread, tuseinc.

If you need to cancel a direct deposit, you may be able to request a direct deposit reversal to get your money back. Reversals can be requested up to 5 business days from the pay date (US). It's important to know a reversal doesn't guarantee recovery of your funds. There may also be fees involved with reversals.

You can request a reversal if:

  • The reason is in compliance with ACH or EFT laws. For example, duplicate payments or unintended payments.
  • The direct deposit paycheck wasn’t rejected.
  • It’s within 5 banking days (US) of the paycheck date, before 12:00 PM PT. Note that the posting date is day 1.
  • The bank account you want to reverse funds from must still be in the employee's profile.
  • If your request is through the direct deposit reversal form, review the article linked below for potential reversal fees.

In the event you don’t meet the criteria above, or you don’t want to pay a reversal charge, work with your employee or contractor to get the money back directly from them.

If you're prepared to submit a reversal request, you can review our Reverse a direct deposit article for detailed steps on how to send it to Intuit. This resource also covers any fees associated with direct deposit reversals.

Please feel welcome to send a reply if there's any additional questions. Have a wonderful Wednesday!
