QB Payroll and matching Bank Transactions

I'm sure the answer is right in front of me but I'm having a hard time figuring this out.  I use the QB Payroll directly through QB Online to pay 4 employees.  The payroll is logged in my QB.  Our business bank account (where the checks are cut from) is linked to our QB Online.  For some reason, the payroll is not matching to the checks going out.  How do I match the transaction as right now, it's looking like we are paying twice the payroll (QB is logging Gross Payroll and Bank Register is showing Net Payroll taken out and then Taxes Separately).  Please advise.

I'm here to help match your payroll in QuickBooks Online (QBO).

 

If you've run payroll in QBO, make sure to not create any expenses. If the wages of the employee show up on the Banking page, do a Find Match and look for the employees's paychecks.

 

To make a match, QuickBooks looks at the following:

 

  • Check numbers: If these match, the transactions may match.
  • Amounts: If the amounts are the same, the transactions may match.
  • Dates: If the transaction was recorded in QuickBooks within a few days of it clearing the bank, the transactions may match.
  • Payees: If the payees are the same or if the payee in the downloaded transaction has a renaming rule to a name in QuickBooks, the transactions may match.

To check the transactions under the register:

  1. Go to the Gear icon.
  2. Select Chart of Accounts.
  3. Select the specific Bank and click View Register.

After, go to the banking area and find match.

quick books is not matching the direct deposit for payroll.  It finds nothing.

Thanks for joining this thread. Allow me to help and provide some insights about matching payroll and banking transactions in QuickBooks Online (QBO).

 

QBO will not automatically match the direct deposit payroll since the transactions downloaded from your bank is a whole amount of your Direct deposit. While in the bank register, it will post each paycheck amounts. 

 

To match both transactions, you can follow the steps provided by my colleague Angelyn_T on her post.

If you need further assistance with the steps, I recommend calling our QuickBooks Online Support Team. They have additional tools to pull up your account and do a remote session.

  1. Go to: Get help with QuickBooks Online.
  2. Click the contact us link. 
  3. Select the Search for something else, and type-in Customer Support
  4. Click Search.
  5. Scroll-down and click Get Phone Number

where is "the Banking area" you are instructing us to go to in order to find a match "after" looking at the transaction?

You can go to the Banking or online banking window to match the paychecks. Here's how:

 

  1. Go to the Transactions menu and select Bank transactions.
  2. Proceed to the For review tab.
  3. Look for the paychecks and click Match.

 Additionally, it's important to ensure that you have assigned the correct bank account for payroll transactions. Here are the steps:

 

  1. Go to the Gear icon and select Payroll Settings.
  2. Click the Edit ✎ icon next to Accounting
  3. Proceed to the Bank account section and click Edit ✎.
  4. Select the right bank and click Save.
  5. Click Done.
