Yes, you absolutely can run a report that specifies your PTO hours in a specific date range, if you run a Vacation and Sick Leave report, and change the date range, it will provide you with the desired information. Follow these steps to do so:

  1. Go to the Reports menu.
  2. Enter Vacation and Sick Leave in the search field.
  3. Change the Date range.
  4. Select Run Report

I don't have a date range to select.  I can select active employees all employees, etc through a drop down, but no date range.  I can send a screenshot, if that would help.

I go to the reports button and click on the Vacation and Sick Leave. I have attached the screenshot of what I see.  Please let me know if I need to better describe the situation.

I appreciate following the solutions shared by peers and letting us know the result. Let’s run the Payroll Details Report and set the specific date range.


Please know you’ll also see other payroll items in the statement. If you wish to only see the sick or vacation pay type, export it to Excel and manually sort the data. I’ll guide you through the steps on how to accomplish these tasks in QBO.


Here’s how:

 

  1. Press the Reports on the left panel to enter Payroll Details Report in the search field.
  2. Then, click the Date Range drop-down to select the appropriate period.pto report.png
  3. Hit Run Report to view the changes.
  4. Next, tap the Share drop-down to choose Export to Excel.pto report.1.png
  5. Open the spreadsheet and manually filter the information.

Hello and thank you all for trying to help.  I need the report of what was remaining as of 12/31/2020 in my staff's PTO accounts.  I am able to track what they used over the year.  I need it for out accountant.

 

Does anyone have any more ideas?

I can share some ideas on how you can track the PTO balance for that date, LeeanneSar.

 

Please take note that the Vacation and Sick Leave report only shows the current vacation or sick time balance. The available balance for historical data will not reflect.

 

Since you're able to track what they've used last year, you can manually subtract that amount to their current time balance. After that, add or subtract the result to what they've used or accrued for this year.

 

To easily compute and compare the data, I recommend exporting the Vacation and Sick Leave report to an Excel file. Here's how:

 

  1. Select Reports from the sidebar menu.
  2. Under the Payroll section, choose Vacation and Sick Leave.
  3. Click Run Report.
  4. From the Share drop-down menu, choose Export To Excel.

Once everything is sorted, you may now submit the file to your accountant. Additionally, I've included an article that will help you track where you're business stands in terms of payroll and employee expenses: Run payroll reports.

Did you ever get this resolved? If you don't have a ton of employees, I can share my work around with you. I needed the same info for my accountant.

I am trying to determine how many PTO hours have been used by each employee.  I need to adjust the dates based on hire anniversary date as our PTO calendar is NOT January 1st to December 31st.  Has anyone figured out a work around?

You can run the Vacation and Sick Leave report as shared by my colleague KlentB. This is a detailed report of employees' time off accrual and usage information. The report shows the vacation time and sick leave your employees used so far and how much they have left.

 

To run the report, here's how:

 

  1. Go to Reports on the left panel.
  2. Type Vacation and Sick Leave in the search field. 
  3. Filter your report by employee, and then select Run report.

Thank you for the response.  I am looking for a report that shows the accrued leave balances without having to put two reports together.  Additionally, the leave report does not have options for a date range, it is for the current point in time.  The method by your colleague appears to show leave balances used in the pay cycle, rather than an accrued balance.

I can see how this specific feature is beneficial to you and to other users, but the report you want is unavailable in QuickBooks Online (QBO). My colleagues have provided the workarounds above.

 

Here’s how you can directly share your suggestions and feature requests for product improvements:

  1. Go to the Gear icon.
  2. Choose Feedback under Profile tab.
  3. Enter your Comments, Suggestions or Feedbacks.
  4. Click Next.
