Sync Square Payroll with QuickBooks Online

When I first set up my QBO, I created an expense account called Paycheck tips. I use Square to do my payroll and split the tips for my employees, and sync Square with QBO. The payroll entries come through to QBO as journal entries and the tips hit Paycheck tips expense account. I noticed that a liability account was also created (called Square Tips) and it kept building up; I believe that the liability account should be cleared against Square payroll entries instead of the Paycheck tips expense account. However in Square dashboard, it doesn't allow me to select the liability account. How can I fix that? Thank you

  1. Go to the Help icon.
  2. Click Contact us.
  3. Enter "sync square payroll" as your concern.
  4. Click Let's talk.
  5. Choose either to Start a message or Get a callback.

Hello @Razzz,

 

Let me help share information about how you can fix the posting account of your transactions when downloaded to QuickBooks from Square.

 

To start with, the account assignment of your transactions is provided by Square. That being said, I'd recommend contacting them so you can update the posting account of your transactions.

 

From there, one of their specialists can help you map your transactions so you can choose the appropriate accounts correctly.

 

Meanwhile, you can also edit the posting account of the journal entries once downloaded into QuickBooks. But if you wish to do so, I'd recommend contacting your accountant so you'll be guided in choosing the right account for your journal entries.

As the OP noted, you can't change the payroll tips mapping to a liability account in square. That's how square designed the payroll integration it seems.

 

Unfortunately, The Sync with Square app (which is advertised by intuit as having been developed by intuit) creates a Square Tips Liability account to post tips daily. So if you want to use both of these integrations you have a problem because square tips get posted as a payroll expense (by square payroll) and also as a liability(by Sync with square app) that does not get cleared.

 

Now I know you can adjust this manually but it's tedious and then why bother with the integration? We, or at least, I, am looking to find out if there is a way for these integrations to be compatible without much added work.

 

Tinkering around I think, maybe, you can change the income account for the Square Tips item in produces/services to a tips income account (which you would need to create yourself) instead of the default liabilities account for that item.   

I am not sure this will work because, according to QBO, if you change the account type for the default accounts for sync with square it can disrupt the connection. ( I think this happened to me, but both square and QBO both point fingers at each other if you need support with Sync with Square app...even though intuit advertises that they developed the app and even put the QBO support number down as a contact should you have issues....so I can't be sure what happened because nobody helps)

 

If I'm ever brave enough to edit the Square Tips item income account and see what happens, i'll report the results.
