Hi there, huntmodern,

Let me help you get a copy of the W-3 information.

At this time, we're unable to print the W-3 form in QuickBooks Online (QBO). The good thing is, QBO provides us another way to get the information you need on the W-3 form. This is by printing the Payroll Tax and Wage Summary report.

Here's how:

  1. Click Reports on the left panel.
  2. Click All Reports.
  3. Click Manage Payroll.
  4. Click Payroll Tax and Wage Summary.
  5. Set the Date Range.
  6. Click Run Report.

Unfortunately, this does not provide the TIP information separately.That is broken out on a W3 on Box 7 so I can tie out wages on the P&L (tips are a pass through). I hope they consider adding a printable W3 - it is a clear, concise backup to give the CPA when providing FYE documentation of the books. Instead I now have to provide all 4 quarterly reports (which breaks out tips) instead.

Yes, I agree.  We need to see a copy of the filed W-3 to tie out balances.

This is very inconvenient as we have a client who uses QB payroll and the IRS is auditing them and wants a copy of the W-3 for the audit!  Please, QB - you need to create a way to produce the actual W-3 filed from QB Payroll.

This is definitely not acceptable.  You need a copy of the actual W3 filed when going through a State Unemployment Audit.

When you electronically submit the W-2s through our Online Payroll service, you don't need to send a separate W-3 since we automatically send your W-3 information to the appropriate government agency. Although we don't send the actual form, but we provide the necessary information that is acceptable to the agency.

 

The W-3 form is only for an employer copy and not the official form for submission.  Here's how you can view and print the W-3 form:

  1. Select Taxes.
  2. Click Payroll Tax.
  3. In the Forms section, select Annual Forms.
  4. Select W-3, and then View.
  5. A PDF form open, and select the printer icon to print.

For additional reference, you can check this article: Form W-3: Transmittal of wage and tax statements.

 

If you need further assistance with the steps, I recommend contacting our QuickBooks Online Payroll Support. They have the tools to pull up your account and do a remote session.

I used Intuit to file my W2s and now need a W3 for the PPP loan.  There is no W3 report in the archived forms. I would imagine every small business in America is applying for these loans.  I hope the SBA is satisfied with the Payroll Tax and Wage Summary Report instead.

Let me share some details of W3 form, burbz.

 

The W-3 form available in QuickBooks Online is only for employer's copy not the official form for submission. When we file your W-3 electronically, we provide the necessary information that is acceptable to the agency. Running Payroll Tax and Wage Summary has the details for W-3 as well.
 

Here's how you can run a report for Payroll and Wage Summary:

 

  1. Click the Reports menu, then choose Standard, then select Payroll.
  2. In the Payroll section, select Payroll Tax and Wage Summary.
  3. Choose the Date Range from the drop-down.
  4. Enter other customization base on your preference.
  5. Hit Run Report.

Let me guide you in viewing your archived forms. 

  1. Go to the Taxes menu.
  2. Choose the Payroll tab.
  3. Under the Forms section, choose View Archived Forms.
  4. Select the desired form.

You can read through this article for more detailed steps: Archive old forms (Go to View an archived QuickBooks Online Payroll).

 

With this information, you'll be able to edit archived forms before sending them in. Keep up the great work and please let me know if you have any other questions.

What this ever done?  I don't not like have to be pushed into e-filing.  I want to send my own W3...The IRS contact me, even thought I sent efile last year, the want a copy printed in red.  NOW WHAT

I'd suggest getting a copy of Form W-3. Then, runthe Payroll Tax and Wage Summary report to get the details for W3. Then, manually fill out the form.

 

Here's how:

  1. Click the Reports menu, then choose Standard, then select Payroll.
  2. In the Payroll section, select Payroll Tax and Wage Summary.
  3. Choose the Date Range from the drop-down.
  4. Enter other customization base on your preference.
  5. Click Run Report.

 

Then, manually fill out the form available through the IRS website. I've attached a link for more details about getting a copy of Form w3: 2020 Form W-3.

When I click view nothing happens - it lets me download the w2 but not the w3. Is this a QuickBooks bug?

I've reviewed our ongoing/solved investigations and can confirm there's currently no records about users reporting that they're unable to view their W-3 forms.
 

Since nothing's happening when you click View, I'd recommend checking your browser. It's possible this problem could have something to do with temporary internet files. These types of records are stored on your computer, but sometimes they can cause issues with certain webpages. You can open a private window and try viewing the form again to see if it works.
 

Here's how to access incognito mode in some of the most commonly used browsers:

  • Google Chrome: Ctrl Shift N
  • Internet Explorer: Ctrl + Shift P
  • Mozilla Firefox: Ctrl Shift P
  • Safari: Command Option P

 

If you're able to access your W-3, it's safe to say this problem's being caused by temporary internet files. It can be fixed by clearing cached data and Intuit-specific cookies.
 

In the event it continues doing nothing upon selecting View, you'll want to get in touch with our Customer Care team. They'll be able to pull up your account in a secure environment, conduct further research, and create an investigation ticket if necessary.
 

They can be reached while you're signed in.
 

Here's how:

  1. Click the Help (?) icon.
  2. Choose Contact Us.
  3. Enter a description of your situation in the What can we help you with? field, then hit Let's talk.
  4. Select Start messaging or Get a call.

 

Be sure to review their support hours so you'll know when agents are available.

Your reply is not relavent to the question being asked. 

The problen is not creating & initial printing when filing W3.  Its Afterwards, already been filed...and the form is being requested (like right now for 2019 to prove average payroll for PPP applications).

When looking at archived forms W3 is not there., it is only an option when initially creating it, (when needed in later years for audits, only W2

Paycheck Protection loan applications have W3  (NOT W2) being requested to prove payroll costs for 2019.  They aren't asking for a report, they want the W3.

While a work around is appreciated, you do realize that quickbooks creating and filing a form then NOT providing access to that archived form...especially when it has become a commonly requested form for PPP is a problem right?

Not having access to already filed W3 seems to be a quickbooks "feature" according to the company and a bug according to the users.    One of the many reasons why my clients will no longer use quickbooks payroll services.  (after the ability to edit & delete direct deposit


 

paychecks before processing was removed in December and customer support said that was intentional, a feature, not a bug).

Its a quickbooks "feature" not a bug.  Which means they won't fix it.

Has anyone at Intuit thought about answering this question for users of QuickBooks Desktop or Enterprise?  In my Enterprise 19.0 edition, I have none of these report options available.  But I do need to print a W3 to support my year-end 401(k) reporting needs.  And since I use Assisted Payroll, Intuit supposedly "files all forms for me".  Except that because Intuit files electronically, they don't need to produce a W3.  So how in the world am I supposed to produce a W3 for my 401(k) reporting needs???

Let me walk you through printing your W-3 in QuickBooks Desktop (QBDT), jeffh60.

 

We can provide you an employer copy of W3. And, use it as a reference for your 401(k) reporting. Simply run a report to view and print your W-3 information.

 

Let me show you how:

 

  1. Go to the Reports menu.
  2. Select Employees & Payroll, then Payroll Summary.
  3. Make sure your date range spans an entire calendar year.
  4. Reference the Total column on the far right for W-3 totals.
  5. Click Print.

For prior years, you can run and print a tax and wage summary report. This report has the same information that you'll find on Form W-3.

We are using Intuit for our payroll. Recently I heard our CPA mention about the W-3. I am wondering if you are submitting the W-3 to the IRS for us? is there a way to check if you are submitting for us or not? Thank you in advance and really appreciate your answer.

Allow me to chime in and share additional insights about the W-3 form in QBO. When you file your W-2s, our system will also include the W-3 along with the submission.

Also, the filing process differs for each payroll subscription. If you need to check which subscription you have with us, go to the Account and Settings page. Follow the steps below:

 

  1. Go to the Gear icon and select Account and Settings.
  2. Select the Billing & Subscription tab.
  3. Your subscription is shown below your company ID.
