Where is our payroll data going when I get a notice that it was sent successfully?

We have a third-party processor and use QB desktop for the bookkeeping part. We do not use QB Online.

So what data are you taking and where is it going and please stop. I'm asking nicely.

Collecting and/or using our payroll data for ANYTHING is not OK.

Not a single thing about our employees is any of your business. Using your product does not change that.

Thanks,

-Mark

Where is our payroll data going when I get a notice that it was sent successfully?

I appreciate you for reaching out to us, Mark. No worries, I can provide you with some insights into what the message alert is about.

In general, when you receive the message your payroll data has been successfully sent in QuickBooks Desktop, it indicates that your payroll information has been transmitted to Intuit's servers. This process is crucial for various payroll functions, including direct deposit and paper check processing.

Here are some key points related to sending payroll data in QuickBooks Desktop:

  • Sending Payroll Data: Sending payroll data is essential for Intuit to process direct deposits and paper checks accurately. It allows Intuit to manage the number of paychecks and ensure the correct distribution of funds.

  • Verification Reports: After sending payroll data, you can view and print a payroll confirmation report in QuickBooks Desktop. This report includes details such as employee names, direct deposit amounts per employee, and the total amount to be withdrawn from your payroll account.

  • Direct Deposit Processing: For businesses using direct deposit in QuickBooks Desktop Payroll, sending direct deposit paychecks is a critical step to ensure timely payment to employees. This process involves reviewing paychecks, taxes (for Assisted Payroll), direct deposit amounts, and the funds to be withdrawn from your account before finalizing the transmission.

  • Resolving Errors: In case you encounter errors like PS038 when running payroll in QuickBooks Desktop, steps such as updating QuickBooks, sending payroll data or usage data, identifying stuck paychecks, verifying and rebuilding data, and toggling stuck paychecks can help resolve the issue.

Sending payroll data in QuickBooks Desktop is a routine procedure that ensures accurate record-keeping and efficient management of essential payroll records.

Where is our payroll data going when I get a notice that it was sent successfully?

Like I wrote, we don't use any version of QB to process our payroll. We pay for the subscription because it's easier to input that way.

We do not require your assistance outside of that. We write our own paper checks and our processor deals with direct deposits and filings. I have access to all the data and reports that I need.

Most importantly, you dodged the questions. Seeing as you will not need to EVER access any of the data you're collecting (against our specific wishes), I want to know what data you're collecting and what it's being used for, and how do we get you to stop.

I'm guessing you would rather not I inform our employees that their personal data is being taken by an outside vendor without their permission and that you are refusing to stop or even tell us what they're doing with it.

Thank you,

-m

Where is our payroll data going when I get a notice that it was sent successfully?

Thank you for taking the time to respond to this thread, Mark.

Let me provide you with some information about the data that is being sent to QuickBooks.

I understand that you are managing your payroll. Please know we take privacy very seriously. I would like to explain what information is being collected and the reason why the system is recording it. Sending usage data in QuickBooks Desktop is essential for various reasons, even if you are not using direct deposit and doing your payroll.

Here is why you may need to send payroll data in QuickBooks Desktop:

  • Employee Tracking: Sending data allows QuickBooks to track the number of employees on your payroll and their payment method. This is necessary as there are monthly usage and per-employee fees for QuickBooks Payroll Services.

  • Billing Updates: Sharing data enables QuickBooks to update your monthly billing based on the actual number of employees paid through payroll.

Aside from that, the system will also attempt to make a connection with our server to download tax table updates every time you send data to us. This is to make sure that your tax table is up to date and crucial for accurate payroll processing, and sending data helps in this regard.

Where is our payroll data going when I get a notice that it was sent successfully?

@Aldren18

I too, and I'm sure many others,  have the same concerns as @Mark Krikava, we do not use QB online (on purpose) and do not utilize direct deposit and we manually process our paychecks.  QB is used only for entering data to job costing and the tax calculation, hence the payroll subscription.

Therefore QB does not need to upload our employees data.   You discuss a report.  Where exactly is this report you speak of ..."you can view and print a payroll confirmation report in QuickBooks Desktop." ?

Hey there, @hilsport. Let me join in this conversation and provide you with further help in viewing the payroll report.

You can view and print payroll confirmation reports if you have a QuickBooks Desktop Payroll Assisted subscription or Direct Deposit service.

Here’s how to view and print the report:

  1. Click the Employees menu and click Send Payroll Data.
  2. Under Items Received, select a report, then View.
  3. Click Print to print the report.

Moreover, you can verify if your payroll has been transmitted successfully. To find out where it’s at in the process, check out this article: How to view the status of your employees’ direct deposit paychecks in QuickBooks Payroll.

If you have follow-up questions about handling your payroll data or reports in QBDT, just add them to the thread. We'll be here to help. Have a good one.

Where is our payroll data going when I get a notice that it was sent successfully?

For our part we do not keep any of our employee's personal information in QB, so any data they do take is useless. In order to input employees I make up the "required" information--addresses, social security numbers, etc.--then once I'm done I go back and delete that information.

That's the best work-around I could find.

Best of luck,

-Mark

Where is our payroll data going when I get a notice that it was sent successfully?

Mark,

We just switched to Enterprise and I completely agree with you. Why is it necessary for our payroll data to be transmitted to QB. We do everything in house - we don;'t need direct deposit etc.

Where is our payroll data going when I get a notice that it was sent successfully?

There is no reason for QB to gather this data when we are doing the payroll in house. I am asking that you immediately add a "option" not to send this data.

Mark,

Thanks for the input but QB has no business collecting this data - we too are doing our payroll in house.

Where is our payroll data going when I get a notice that it was sent successfully?

Can you tell me what information you share with the Internal Revenue Service, If any ? I notice that it now shows that payroll information is being transmitted after I finish entering payroll - is this information transmitted to the Internal Revenue Service also ?

Thanks

Where is our payroll data going when I get a notice that it was sent successfully?

Hello, @jason0418.

Allow me to explain the process of sharing information with the Internal Revenue Service (IRS) in connection with the transmission of payroll data through QuickBooks Desktop.

Here's the reason why you need to send payroll data in QuickBooks Desktop:

  • Employee Tracking: Sending data enables QuickBooks to monitor the number of employees on your payroll and their payment method, crucial for managing monthly usage and per-employee fees associated with QuickBooks Payroll Services.

  • Billing Updates: Sharing data helps QuickBooks adjust your monthly billing accurately based on the actual number of employees paid via payroll.

Additionally, the system will automatically connect with our server to download tax table updates each time you transmit data, ensuring your tax table remains current for precise payroll processing.

Moreover, in response to your query about transmitting payroll information to the Internal Revenue Service, it's important to note that if you are submitting through e-file, tax forms will be sent directly to the IRS. On the other hand, if you utilize epay, tax payments will be directed to EFPTS.

For more information about sending usage data, as well as how to fix an incorrect time zone, I recommend the following article: Error: QuickBooks has encountered a problem sending your usage data.

Please feel free to reach out if you have any more questions about transmitting payroll information. We're available to assist you at any time.

That's great, if I was using a monthly per employee QB service, but I flat fee, so there is no need in monitoring.  That fee is to cover up to X employees and the payroll updates.

As for as electronic filing and epay, which are transmitted to the IRS, that quarterly data can be used for your so called employee monitoring.  You do not need to transmit with every payroll complete.

Sadly, just another case of Big Brother oversight.

Where is our payroll data going when I get a notice that it was sent successfully?

Hilsport, I agree - we do our payroll in house, why is our employees data sent anywhere? There is no need for this data to leave our server - it is NOT necessary for them to see anything - we pay a flat fee. QB PLEASE provide the option for users like us to opt out of transmitting our data.

Are we being charged by employee for this payroll data? We do in house as well and pay for the payroll subscription.

I do not understand why this is necessary unless we are being charged extra. Please confirm if there are any extra fees associated with this payroll data being sent as we should not be paying anything extra.

Let me point you in the right direction to get this sending payroll data concerns, TCSchool146.

The transmission of payroll data is a regular procedure that ensures accurate record-keeping and efficient management of essential payroll documents. Additionally, please note that there are no additional charges for sending your data since its purpose is to sync your payroll information with the system.

In addition, you can generate payroll reports to access valuable insights about employee wages, taxes, and deductions. This information is relevant for tax filing purposes.

Fill me in whenever you have follow-up questions concerning payroll or other issues. I'll be happy to assist you.

Where is our payroll data going when I get a notice that it was sent successfully?

This is ridiculous for QB to collect our private payroll information. This must stop

This is being done without our control and no option to block. We pay for Payroll service to provide the tax data and updates. Our data must reside with us and must not go to QB.,

You must provide option, or we have to stop using your payroll service and perhaps Quickbooks altogether.
