Which report to export to Excel for W-2, W-3 creation

One of my companies only had payroll for a partial year, Jan - early May 2023 using Desktop with a payroll subscription.   No luck utilizing Quickbooks Online for 2023 W-2s.  Question - in QB Desktop, which payroll report needs to be exported to Excel in .xls , .xlxs , or .csv so I can upload to another W-2, W-3 tax service?

In QuickBooks Desktop (QBDT), you can run and export the Payroll Summary report to display your employees' total payroll wages, taxes, deductions, and contributions, which is helpful when creating W-2 and W-3 forms. Here's how:

 

  1. Go to the Reports menu.
  2. Select Employees & Payroll and click Payroll Summary.
  3. To export, click the Excel dropdown and select Create New Worksheet.

 

Additionally, QBDT allows you to email reports at a regular and recurring scheduled time. This way, you don't need to send them manually because the program automates this process.

This reply will noly apply to your need if your state is one of THOSE requires w2-efiling. than you can use

from QB Desktop - Process payroll form--- Efile State w-2 form Other activities. It will create the excel worksheet.

The process provided by my peer above is the same even if you're using QuickBooks Desktop Enterprise. You can still run and export the Payroll Summary report that generates an Excel file with the payroll data you need for your W-2 and W-3 forms. Here's a quick recap of the steps and screenshots for your visual guide:

 

  1. Open QuickBooks and navigate to the Reports menu.
  2. Select Employees & Payroll and then choose Payroll Summary.


     
  3. Customize the report to include the necessary date range and employee details.
  4. Once everything's accurate, click the Excel dropdown at the top of the report.
  5. Choose Create New Worksheet to export the data to Excel.

Moreover, you can save the current settings by clicking Memorize from the reports window. That way, you won’t have to go through the customization process again in case you need the same information in the future.
