Report showing hours worked by employee by pay period.

I need to run a report with just the hours worked by pay period for my employees.  We do not bill clients for time.  Where is this report.  I have found total hours for a time period and all of the financial reports breaking down employee pay and time by week, but I'd like pay per pay period do I do not have to re-figure each employee.  Please advise.

I’m happy to provide you the report that shows the hours worked by employee per pay period.


You can run and customize the Time by Name report for this. This report shows how much time each employee spent on various jobs.


Here’s how to run the report:

  1. Go to the Reports menu.
  2. Click Jobs, Time & Mileage, then select Time by Name.
  3. Set the date range.
  4. Under Columns, choose the preferred option.
  5. Click Refresh.

I need to run a report for hours per week per employee. Our pay week begins on a Saturday and ends on a Friday. I tried creating a report starting on 02/02/19 to 02/15/19, which is what I need. However when I do this it creates  3 columns, when I think it should be only 2 columns. The first column is only grabbing time worked on Saturday and the next two columns are grabbing Sunday through Friday.

I'll share some information about running payroll reports. 

 

QuickBooks is designed to create a payroll report based on the default week starting from Monday to Saturday. 

 

If you used the Time by Name report as suggested by my peer above and customize the columns by week, it will create three columns. Since your pay week begins on a Saturday and ends on a Friday, the report is working as designed. You can see the screenshot below to serve as your visual reference. 

 

 

 

If you'd want to have only two columns on the report, I'd suggest sending feedback to our Product Development Team. This can be done by going to the Help menu at the top, then choose Send Feedback Online. By doing so, they'll use this feedback for future updates.

I do not have a report option for TIME BY NAME under JOBS, TIME, and MILEAGE.  Can you please help me understand why - or another way I might find this information?  I'm using QuickBooks Desktop Pro 2019.

This behavior with the missing report is often caused by damaged data. I recommend running the Verify/Rebuild tool. This helps identify the most commonly known data issues within the file and resolves it.

 

Before we begin with the troubleshooting, let's secure a backup of your company file. Once done, we can proceed to verifying and rebuilding your data in QuickBooks Desktop. I'll guide you how:

 

Here’s how to verify:

  1. Go to the File menu.
  2. Select Utilities.
  3. Click Verify Data then select OK to close all windows.

To rebuild:

  1. Go to the File menu.
  2. Select Utilities.
  3. QuickBooks will ask to make a backup before rebuilding your company file, select OK.
  4. Once the rebuild is done, click OK.

Once done, let's go back to the Reports menu and run the Time by Name report. This will show the time by person broken down by the customer for a specified date range.

 

  1. Go to the menu, select Reports then, Jobs, Time & Mileage.
  2. Select Time by Name.
  3. Set the date range of the data you want to be included in the report.
  4. Click the Customize Report and filter the necessary details.

Also, you can export the report to Excel and modify the changes from there.

Once done, click Memorize to save its current customization settings. Doing so will help you quickly access the report in the future.

I appreciate you for following the troubleshooting steps above. I checked the report on my end, and I'm able to view it. 

 

Since the issue persists on your end, I'd suggest running the Time by Job Summary then customize it to Time by job by Name. Let me show you how: 

 

  1. Go to the Reports tab, choose Job, Time & Mileage
  2. Select Time by Job Summary
  3. Click the Customize button on the left side. 
  4. Choose Display, then pick Time by Name by Job in the drop-down. 
  5. Hit the Filter tab, then type Name in the search box. 
  6. Elect either Multiple names or All names. 
  7. Tap OK. 

 

Also, I'd advise you to contact our Customer Care Team. They have tools to open your account and investigate the root cause. Please ensure to contact them within the business hours to address your concern as soon as possible.

I am looking for a labor report. Want to see total hours worked this year across employees. Would like to see split by regular and overtime. Last, would like to understand average pay for regular hours. I have desktop pro.

In payroll I assign every employee hour to a job.

All efforts to run a report to see total time an employee has spent on a job have opened with no data. 

We have QuickBooks desktop premier contractor edition 2021.

Since you assign every employee's hour to a job, they should appear when you pull up the Payroll or Job report. I suggest running the  Verify and Rebuild Data Utilities to get this sorted out. The Verify Data utility identifies any potential data damage issues that might've caused unusual behavior of your data on a report. While the Rebuild Data utility repairs damaged data in your company file. Before this, you'll have to secure a backup copy of your company file.

 

To Verify data:

 

  1. Go to the File menu.
  2. Scroll down to Utilities.
  3. Select Verify Data.
  4. Click OK.

 

To Rebuild Data:

 

  1. Go back to the File menu.
  2. Choose Utilities.
  3. Select Rebuild Data.
  4. Click on OK when you get the message Rebuild has completed.

When I ran the Verify Data Utility it did not identify any issue.  So I am back to square one.  Is there any other reason why no data would fill in the report?  We do not use the Quickbooks Time feature but as I said,  every employee hour is assigned to a project when entering data in a scheduled payroll.  Thank you.

In QuickBooks Desktop (QBDT), we have the QuickBooks File Doctor that we can use to fix damaged company files. 

 

To get started, download and install the QuickBooks Tool Hub. Let me show you how:

 

  1. Make sure to close your QuickBooks.
  2. Download the latest version of the QuickBooks Tool Hub (1.5.0.0) and save it where you can easily find it. 
  3. Open the QuickBooksToolHub.exe link.
  4. Follow the on-screen instructions to complete the installation process.
  5. Next, double-click the icon on your desktop to access the tool hub.
  6. From there, head to the Company File Issues menu on the left panel and click Quick Fix my File.
  7. Click the OK button once completed. Then, launch your QuickBooks.

 

 To run the QuickBooks File Doctor. See these steps:

 

  1. Select the Company File Issues menu from the tool hub.
  2. Choose the Run QuickBooks File Doctor button. 
  3. In QuickBooks File Doctor, choose your company file from the drop-down menu.
  4. Select Browse and Search to find your file.
  5. Press the Check your file option and then Continue.
  6. Enter your QuickBooks admin password and then click Next.

I would like a report that shows ALL hours worked by employee INCLUDING time not associated with a specific job, like Clerical/Receptionist. 

 

I would like it to show similar to Time By Name, but also include the PAYROLL ITEM in that report. How are we able to run a report like that?

The option to generate a payroll report that's similar to the Time By Name report with payroll items is unavailable in QuickBooks Desktop.

 

For now, you can run two separate reports: the Time By Name and Payroll Item Details reports. Then, export them into Excel and combine their data.  

 

Here's how to run reports and export to Excel:

 

  1. Go to the Reports menu, then open your desired reports.
  2. Click the Excel drop-down list and select Create New Worksheet.
  3. Continue by clicking Export, then Save your file.

 

You can also send feedback about your thoughts when generating reports in QuickBooks Desktop. This way, our developers can review your suggestions and most likely include them in future updates. Simply click Help and select Send Feedback Online. Then, choose Product Suggestions. Write down your ideas and click Send Feedback.
