QuickBooks no longer can use gmail to send forms

I have been using my gmail account as the default to send forms. All of a sudden, Quickbooks was unable to send anything. I get the following message:

We are unable to connect to the email server for your email provider.

I have allowed for less secure apps.  I called QuickBooks and that was useless.

Please help!

QuickBooks no longer can use gmail to send forms

After HOURS on the phone with QuickBooks over the span of a week, I finally got an answer. Apparently it is a "bug" on the QuickBooks server that isn't sending emails. They have no solution yet and don't expect an update until Aug 31. I have pasted a link below which sheds a little light on the situation. If you scroll all the way down to the end of the article, there is an short passage about their engineers working on the problem.

Delete the email address in your quickbook settings, back up quickbooks, turn off your computer, turn it back on, open quickbooks, re-add the email address. Crazy, but it worked for me.

We finally set up a designated e-mail account just for QB. This gives them access only to that account.

This just happened to me a couple of weeks ago with my gmail account and also my yahoo account.

To Fix the Gmail account:

Go to Accounts

Sign-in Security

On Left side you will see -   Apps With Account Access

and then go to Allow Less Secure Apps - turn it on.    "It works I tried it and I am up and running. "

I also have a Yahoo account,  To fix in Yahoo:

Yahoo

Mail

Account info

Account Security

Allow apps that use less - turn on and it works perfectly.

This answer from 2 years ago.... still happening today 7/17/18. No problems for last 20 years of using QB... and today I change my mail PW as I've done plenty of times over 20 years, and QB won't allow me to send today.

QuickBooks no longer can use gmail to send forms

Hello fuelsandlubsales,

I'd like to test out a few troubleshooting steps to start:

  1. Make sure that the Access for less secure apps is turn on.
  2. Disable the 2 step verification security feature on your Gmail account.
  3. Check the SMTP server details in your QuickBooks. Go to Edit > Preferences > Send Forms.

Please let me know how these steps work out for you, and we'll go from there. Thanks!

Hello @fuelsandlubsales ,

Thanks for that quick response!

Let's go ahead and check if your anti-virus or security program didn't block the communication ports that QuickBooks needs in sending email. To do that, please see this article: <a rel="nofollow" target="_blank" href="http://support.quickbooks.intuit.com/support/Articles/SLN46263">http://support.quickbooks.intuit.com...>.

Let me know how it goes. Thank you.

That took a little while! Still no luck. I even went in and added the ports.

Intuit.com must have authority to READ, SEND, DELETE AND MANAGE your gmail account. I was told they would never do this on 10-6-17 to which I asked why would they require I approve it then! When I told her I am not comfortable with this, she checking into it saying changes are made to be able to collect payments using the invoices. I asked for an address to send a complaint to. There isn't one. Thus, I went into help to put the complaint out there. But I don't see where you are able to contact them directly other than phone.

Very angry. It worked fine and now it won't work unless I ALLOW them to have control of my e-mail!!!! I won't do it and you shouldn't either!!

QuickBooks no longer can use gmail to send forms

Hi! I just found your solution advice. I have done all of these things and can send everything except invoices. It's really annoying since I'm the accountant. Anything you could tell me to allow me to send invoices would be greatly appreciated.

Thanks for coming to the Community for help, @sfowler.

I’m here to make sure you’re able to send invoices in QuickBooks Desktop.

Have you tried performing the steps given above? If so and you can’t still email invoices, let’s try performing some basic troubleshooting to fix the problem.

You can start with updating QuickBooks to its latest release. This is to ensure that everything is up to date. Here’s how:
1.    Go to the Update to the Latest Release page.
2.    Select your QuickBooks product and version, then click Search.
3.    Click the Get the latest updates link, then Save/Save File to download the update.
4.    When the download completes, double-click to install the update. You may need to restart Windows after the installation finishes.

Once done, make sure to check the settings in the webmail preferences. Here’s how:
1.    Go to Edit menu and select Preferences.
2.    On the left pane, select Send Forms.
3.    Under My Preferences, select the email account you are using and click Edit.
4.    In the Edit Email Info screen go to the SMTP Server Details section and set the server name and port to your email provider settings.

Please refer to this article for the list of SMTP Server and Ports: Set up email service.

If you encounter any error messages when sending invoices, please check out this article for additional troubleshooting option: Could not connect to the email server.

That should do it. Give this a try and let me know how it goes. Post again in the Community if you need anything else, I’ll be more than happy to help. Wishing you and your business continued success!

Nothing else works.  This is crazy strange but absolutely works.

I really hate the quickbooks software.  No problems for many years and out of nowhere.... this is such a time waster.

This is no longer the issue.  Disable Less secure apps.  and create an app password.  If ytou have Gsuite, go into admin.google.com and then into security and advanced and change permissions to allow users to set their less secure apps setting.
