QB for MAC 2019 sharing with accountant

Hi,

 

I have been using QB 2015 Pro PC on Parallels on my MAC.  My accountant had told me a few years ago that she could not use the MAC QB file to work on.

 

January 1, 2019 I started with QB Online as per my accountants suggestion and I really don't like it.  It is missing so many things.  Tonight I was looking on the Intuit website and saw QB MAC 2019 and one of the new items said "Share data with your accountant or other Windows based users...

  1. QuickBooks Desktop Mac 2019 can exchange data with QuickBooks Pro, Premier and Premier Accountant Edition 2019 for Windows (U.S. versions between Mac and Windows)

I am hoping that I am reading this correctly that I can purchase QB MAC 2019 and send the QBB files to my accountant each month and be able to use the updated QBB file when she sends it back?

 

Please let me know if I am seeing this correctly.  This would be awesome.

You might want to use the Desktop file. Your QBB file might have some information that is not in your QBO file such as reconciliation reports, audit trail, and recurring credit card charges. Also, you can't directly transfer QBO data to Mac without exporting the file first to Desktop.

You are seeing it correctly. Different than in QB for PC where we can send an Accountant's Copy and keep working until the change file comes back, you can in fact, in QB2019 for Mac create a PC compatible QBB file to send to your accountant using any version of 2019 for PC. I have included a link to a users guide for  QB2019 for Mac. Accountant sharing instructions are on page 25

That is great news.  It makes it easier for both platforms (Windows and MAC) to work together.  

 

Now the question is: Do I install the QBB from the 2015 QB Pro or do I download and use the QB Online file?

I have Quickbooks 2015 PC version.... my client has the same version but for MAC.... how do I send an accountants copy that is in MAC so she can continue working with my updated information?

I'm here to share some information when sending an accountant's copy, Stusaltz.

 

When sending an accountant's copy in QuickBooks Desktop for Mac, your client has to convert their file to QuickBooks Desktop for Windows.

 

Just a heads up, you can only send an accountant's copy if both you and your client have the updated QuickBooks Desktop version. 

 

Afterward, let your client get their company file ready and convert it. You can share these steps with them:

 

  1. Let them click the File menu.
  2. Click Export and then select To QuickBooks for Windows.
  3. If prompted, select Verify.
  4. Name the file and then select Save.
  5. Enter and confirm your password and select OK.
  6. Select OK on the confirmation window.
  7. Move the file to your Windows computer.
  8. Restore the file in QuickBooks for Windows.

 

Once done, let your client convert the file back to QuickBooks Desktop for Mac.

 

Then, you're good to send the accountant's copy.

I have a client that has the MAC version. she converts it to pc for me. I then do the bank recs for her

Problem     the recs do not go back to her.   any journal entries do and she see them. but my recs are not

there.  Is there a step or something one of us is missing

Let's check this one by one to make sure that your client receives the records that you sent, debkgreene.

 

You'll want to ensure that you have updated QuickBooks for Mac to the latest release before converting to Windows. Then, check the access that you have given to users. 

  1. Select Company, then Users and Passwords.
    1. To add a user: Select the plus sign (+) then enter a username and password, then set the user permissions.
    2. To edit a user: Double-click the user name and make your changes.
    3. To delete a user: Select the user name, then select the minus sign (-).
  2. When you’re done, close the Preferences window.

However, if you're client cannot still access the information, I recommend using the verify and rebuild tool to fix data issues.

 

For reference, you can also add and match bank transactions after they are downloaded in the bank feeds.

Hi 

Can you please share the link to the instructions you reference in this post?  I am in QB Desktop for Mac 2019, need to share the file with our accountant.  He does not know how to access the file.  I can keep googling for the step by step by I saw your comment and think you may have it handy?

Let me help you create a file that you can send to your accountant, Nancy.

 

I think jonh-pero is referring to this link: QuickBooks Desktop for Mac 2019 User’s Guide

 

I'll also share the steps below for additional details. Please take note that your accountant should be on some 2019 version of QuickBooks for Windows. Also, you cannot work in your company file while your accountant is working on the file. Here's how:

 

  1. Go to File and select Save File for Accountant.
  2. Click Verify (recommended) or Skip Verify.
  3. Once QuickBooks tells you that the verification is successful, name the converted file and navigate to where you want to save it.
  4. Click Save. If you have a Dropbox account and you want to save the file to your dropbox, click Select Dropbox Folder. QuickBooks will prompt you to create a password to protect your company file. Enter a password or, if you don’t want to password-protect the file, leave the fields blank. Note: If you do enter a password, be sure to share it with your accountant!
  5. Click OK.

 

QuickBooks will then create a QuickBooks backup file (.qbb file extension). You can click Show File in Finder to locate the file on your Mac.

 

Once the file is returned by your accountant, you’ll need to convert it to a QuickBooks Desktop for Mac 2019 file (.pb2016 file extension). Here's how:

 

  1. Go back to File and select Open company.
  2. Look for the .qbb file your accountant sent, and click Open.
  3. Click OK when asked if you want to restore a QuickBooks file.
  4. Enter a name for the restored file, and click Save.

1. Buy a one time license for QBD Mac 2019

2. Buy a one time license for QBD Windows 2019

3. Utilize the trial license for QBD 2019

Similar, but different question....

I'm on QuickBooks desktop for Mac 2021, my new accountant is on "QuickBooks Accountant Desktop 2022", based on a screenshot that he sent me of a Warning/problem when opening the "Save File for Accountant" file that I sent him.

 

The problem is "The password you typed is incorrect", but i'm sure that he is using the password that I used when creating the file.

 

So is this problem due to him using a 2022 product?  If so, what are his options to opening the file that I created?  Does he need a 2021 product as listed above or are there other options?

Allow me to share additional information about saving a file for an accountant in QuickBooks. 

 

With the most recent version of QuickBooks Mac, you can exchange data with your accountant or other Windows-based users.

 

QuickBooks Desktop Mac 2021 can exchange data with QuickBooks Pro, Premier, and Premier Accountant Edition 2021 for Windows (U.S. versions between Mac and Windows). 

 

You’ll want to convert your file to QuickBooks for Windows to get this done. Before doing so, make sure to update QB Mac to the latest release. Here’s how:

 

  1. From the QuickBooks drop-down menu, go to Check for QuickBooks Updates.
  2. Select Install Update.
  3. Click Install and Relaunch when prompted.

Additionally, the Save file for Accountant option is only available for the QBB file in QuickBooks Desktop (QBDT) for Mac. You can only open this if you're using the QuickBooks Windows version.

Open your data file in QuickBooks for Mac, choose File > Back Up to QuickBooks for Windows. Can your accountant restore it? If he can open the file, make sure he doesn't use it to work.
