I'll show you a way on how to setup multi-users in QuickBooks, ashburnconsulting.
In a multi-user environment, one server computer hosts your company files. The server allows other computers to access the company file.
To begin, you'll have to turn on your hosting mode. You'll need to do this only on the server computer. You must not turn on hosting for workstations.
Here's how to turn it on:
- Go to the File menu, and then select Utilities.
- Select Multi-User Access.
- Click Yes to confirm.
Once done, let's run the QuickBooks Data Manager on the server so workstations can access the file.
- Go to your server computer (the file is stored).
- Click the Start menu, and then type Database.
- Select QuickBooks Database Server Manager.
- If you can't see your folder location, click Browse, and then choose your company file.
- Click OK.
- Select Start Scan. This will repair your firewall permission to allow QuickBooks to communicate your network.
- Click Close, and then try opening QuickBooks in Multi-user mode on your workstations.

Once done, let's locate and open the company file. Here's how:
- From the File menu, select Open or Restore Company.
- Select Open a company file, then Next.
- Browse the location of the company file.
- Select the company file (with file extension .qbw) from the list and select Open.
- If prompted, enter your user name and password.
