Hi!
I own a wine/spirits distributor and all of my inventory is currently set up for selling and purchasing in bottles.
EX: I purchase a case of wine that has 12 bottles in it. It costs me $120 for the case. On my PO I order 12 bottles for $10 each. When I invoice a customer for a case (12 bottles) of wine, I bill them for 12 units @ $10 per.
I would like to convert my inventory to cases, so that when I bill someone for a case, the they are billed for one unit @ $120. If they order 4 bottles, they are invoiced for .33 cases, etc.
Because QBO uses FIFO, I can't just go into the Product listing and change the prices and quantities without it messing up inventory costs.
EX: If I have 3 cases of a particular wine on hand, inventory reads 36 bottles. I can't change it to "3" without QB thinking I just removed 33 bottles from inventory.
Is there a way for me--without deleting all products and re-entering them and therefore losing product histories--to convert all of my inventory to cases from bottles? Thanks!
You can not use a decimal number like 0.33 for a qty. it does not add up to one and will mess up inventory stockage.
You either stock the wine in cases and sell in cases, or bottles
You can make a bundle item, put the wine item in there, set the qty to 12, and set it to not print the items. Call it case of "***" and sell that
Another option, consider having an additional app with unit measurements feature.
I am an importer and I always buy cases of product, usually 6 bottles in a case. I set up the Individual Items and also Composite Items as made up of 6 individual bottles. I created my Purchase Order for the cases, example 100 cases of 6 bottles per case, and received them. epayitonline When I resale it, I sometimes sell individual bottles, but inventory only show the composite items and does not track individual bottles, which I should have 600. How do I track these transactions correctly or how do I set up my inventory?
Hi there, @Johnson121.
Thanks for sharing your concern in the QuickBooks Community page.
Since you want to track each bottle in QuickBooks, I'd recommend creating an individual item for each of them. This way, you can track them per piece and not by case.
Here's how:
For complete steps, check out this article: How to add your inventory products in QuickBooks Online Plus and Advanced.
Please make sure to turn on inventory tracking so you can add inventory items.
If you buy and sell products and services but don't track them as part of your inventory, here's how to add them to QuickBooks.
To ensure that everything is correct, I'd suggest reaching out to your accountant.

There is no "Unit" drop down menu for me. Is this a feature for QB Online? I have been using this for years and have never seen a "unit" option. That would fix anything.
Hello there, @aitchdub.
I'm here to share some possible reasons why there's no Unit* field in your QuickBooks Online (QBO) account.
It could be that you're using different plan that's why the Unit* field is unavailable. This field is only applicable in QuickBooks Plus and Advanced.
If you want to upgrade your plan/ QuickBooks Online subscription to use the feature, you follow the steps below.
On the other hand, if you're using new QuickBooks Plus/ Advanced plan already, we can log in to your account using an incognito window to isolate the problem.

If it works fine, you can clear the cache. Also, you can use other supported browsers.

Hi! It looks like I do in fact have QBO Advanced. I use this every day constantly and have never seen a ‘units’ option on any inventory item.
Per your request, just to make sure, I opened QBO in incognito mode and it looks exactly the same. Could you possibly provide a screenshot of what I should be seeing? What else could be causing this feature to not be shown? We have 2 separate companies and it doesn’t show for either.
Hi there, aitchdub.
I appreciate you for coming back to the thread to add some clarification from the details shared above about the Unit drop-down option. With this, I'll be providing further details about the said feature so you'll be able to confirm why the option is missing in your QuickBooks account.
The Unit ▼ drop-down list is located before the Category field in the Product/Service information. However, this option is only available for users who are using the International version of QuickBooks. Then, for the US account, the option you'll see is the Sales price/rate and that's the reason you're unable to see the Unit option on your end. I attached screenshots below for visual references.
