There's a way to import a CSV file in QuickBooks Desktop (QBDT). To do this, you have to install the QuickBooks Import Excel and CSV toolkit in which, the toolkit contains the following:

 

  • Import from Excel and CSV Manual – a PDF document with instructions, best practices, and notes.
  • CSV Examples Folder – 4 sample CSV files, one for each type of list.
  • XLS Example Folder – a sample Excel file containing 4 worksheets, one for each type of list.
  • Allowed fields – a reference guide explaining what fields are available for Excel and CSV import.

 

To install the QuickBooks Import Excel and CSV toolkit, here's what you'll need to do:

 

  1. Open the file download window for the toolkit.
  2. Click Save.
  3. Go to your Windows Desktop, then select Save.
  4. Double-click QuickBooks_Import_Excel_and_CSV.exe on your Windows desktop to open the WinZip Self-Extractor window.
  5. Choose Browse.
  6. Select the folder where you want to install the toolkit (such as your Desktop).
  7. Click OK.
  8. Select Unzip to extract the contents, and then select Close to close the WinZip Self-Extractor window.
  9. Open the QuickBooks Import Excel and CSV folder from the location you selected in step 6.

My client has a built-in template for customer proposals. She wants to import our product data so she does not. have to type it in every time.

Yes, I have this. Perhaps I could have been clearer in my question.

 

Our client has a proposal template built into Quickbooks. She wants to import our product data so that she does not have to type it in every time she creates a proposal.

Thank you for the clarification. It's indeed much easier to import the list of products you sell than to type them. You'll want to follow the steps below.

 

  1. Go to the File menu, select Utilities then Import and then Excel Files.
  2. If you get the Add/Edit Multiple List Entries window, click No.
  3. Follow the wizard in importing files.
    1. Select the type of data.
    2. QuickBooks opens a formatted excel spreadsheet. Once you have entered your information, saved the file, and closed it. You'll be given the option to Add My Data Now.
    3. Review results and view Data in QuickBooks.
    4. Select Close when done.

Our client has an existing template for proposals and when we import our file and get the mapping screen, it is not the fields of the custom template but a set of fields that Quickbooks has created and we cannot edit the fields on the left.

 

We are trying to import fields like these:

Quantity

Unit of Measure

Description

Price

 

Our csv file has this data but the fields on the left under ITEM do not match.

 

Am I being clear?

Our customer has a custom template that we are trying to populate.

We have this data but when we import our file and get to the step for mapping, we do not see the template that has been created, and the only option that makes sense is the Item choice. None of the premade fields match the fields we have and when we import the file the data does not go into the customer template. Is this clear?

Customized templates can be copied from one company file to another. This saves you time when it comes to personalizing templates for estimates, invoices, and other forms if you have numerous business files or need to create a new company in QuickBooks Desktop.

 

However, please note that you cannot import customized templates created in newer versions of QuickBooks into older versions, nor can you import templates created in one regional edition of QuickBooks into another. For example, the Canadian edition of QuickBooks cannot export templates to the US version. I suggest to recreate the template, then import again.

Ok, so once I make a custom template, how do I import a csv file to populate the fields in the template?

 

As an example, I have created a proposal template that has the following fields:

Item Type

Qty

Unit of Measure

Description

Total Costs

 

I want to import a file that has 30 products with these fields. This is where we are running into an issue. How do we import this csv file into a custom template? THANK YOU for your help!

In QuickBooks Desktop, you can import a list in the CSV format so long as you have installed the QuickBooks Import Excel and CSV toolkit. However, this does not include the proposal template.

 

You can check for third-party applications integrated with QuickBooks Online to help you import templates. You can go to your Apps menu or use this link to see the details of the apps: QuickBooks App Store.

You can also follow the instructions provided by Fiat, which mentions using the IIF feature to import invoice data in XLS format.
