I have a carpet cleaning business that cleans mostly rental company properties.  So one "customer" has around 1,000 sub customers which are the different rental properties that all bill to the parent customer.  Recently one rental company bought the other so now I need to merge one company with the other in QuickBooks online.  Two questions here:

1.) How can I do this without deleting and creating 1,000 new contacts with the new parent customer

2.) Please tell me there is a way to at least change the email of the parent customer and all the sub customers will inherit this new email

Welcome to the Community space, KingsClean

Allow me to provide information about moving a customer from one sub-account to another in QuickBooks Online (QBO).

At this time, the ability to move the customer to another sub-customer or unmark the sub-customer and change the email of the parent customer so all the sub-customers will inherit the new email is currently not an option. And if the sub-customers transactions are associated with the parent customer through the Bill with parent

That said, you'll have to delete all the payments and invoices associated with the customer you're trying to move. This is to ensure that your records are accurate and to prevent issues in the future.

I can see how the features you're looking for would benefit and empower your business. That said, I recommend sending this request straight to our product engineers through feedback. Sharing features and options that you would like implemented is how our engineers look for new product updates.

To send feedback, follow the below steps:

  1. Go to the Gear icon at the top.
  2. Select Feedback.
  3. Enter your comments or product suggestions.
  4. Then select Next to submit feedback.

You may also visit our Feedback forum page. From there, you can see a list of other QuickBooks users who already suggested this feature, as well as the recent updates in QuickBooks.

Additionally, here's a link that you can check out about managing your customer's information from adding to restoring them: Add and manage customers in QuickBooks Online. Then, to learn more about how the bill with the parent feature works, see this article: Use the bill with parent option on invoices in QuickBooks Online.

If there's anything else I can help with about your customer list, feel free to post here anytime. Thanks for dropping by and have a lovely day.

This would mean deleting thousands of payments.  Also anytime the email changes for the employee responsible to process invoices for the parent customer we would need to manually change thousands of emails.  This is absurd as I was hoping to use QBO to process payments and also for invoicing.   This is very disappointing as even cheap CRM software is capable of both of these tasks.

This would mean deleting thousands of payments manually.  To make things worse anytime the email changes for whoever processes invoices for the parent customer I would need to manually change all emails for the sub customers.  Again manually changing over 1,000 customer emails.  This is absurd as I was hoping to use QuickBooks for both invoicing and receiving online payments which looks to be impossible.  Very disappointed as even cheap CRM software is capable of both tasks easily.

Customers are the individuals and businesses that purchase goods and services from another business. To understand how to better meet the needs of its customers, some businesses closely monitor their customer relationships to identify ways to improve service and products.

I have the same issue - one parent customer with hundreds of sub customers. The billing contact for the parent customer has changed and I need to update an email address for the entire company (parent and sub customers). Has Quickbooks Online resolved this issue and created a way to have the sub customers inherit changes to the parent customer?

Thank you for joining the thread, @sdemke. I understand that updating information for both parent and sub-parent customers is essential.

Currently, there isn't a way to do this in QuickBooks Online (QBO). I encourage adding your vote for this one by sending a feature request in the Feedback section within QuickBooks. By adding your vote, improvements can be made to accommodate different business situations, such as updating customer information, and your experience highlights an area where this is necessary.

  1. In your QBO company, go to the Gear icon.
  2. Select Feedback.
  3. Enter your comments or product suggestions.

I'll add this article as a future guide in creating and sending statements to customers: Create and send customer statements in QuickBooks Online.

You're always welcome in the Community should you have further questions about organizing and updating your customer information. Take care.
