Is it possible to export Quickbooks Online data to Quickbooks Desktop and maintain 100% accurate account balances?

I recently purchased Quickbooks Desktop because I think the additional features that it provides above Quickbooks Online would be helpful to my business.

I performed the steps outline in the support Doc titled “Export and convert your QuickBooks Online data to QuickBooks Desktop” to export my Quickbooks Online data. When I opened the resulting .QBW in Quickbooks Desktop, I discovered it was missing many entries of a seemingly random manner.

Some, but not all, of these things were completely missing from the QBW file: Sales Receipts, Customer Payments, Invoices, Expenses. I was baffled. If it were 100% of a particular type of transaction that was missing, it would make more sense to me, but I did have some of the above lists. I understand that certain things, like Recurring Transactions, will need to be manually recreated, and I have scheduled time to address things of that nature, but I need to figure out how to get an export with 100% of all existing transactions and 100% accurate account balances.

I had to abort my migration to Desktop to continue AP/AR quickly and am now still working out of Quickbooks Online.

Does anybody have any advice on this? I still want to move to Quickbooks Desktop, but I need to ensure I can trust the resulting books.

Hi @itsm,

I'll answer this data conversion query for you.

QuickBooks Online (QBO) and QuickBooks Desktop (QBDT) have a few features that are exclusive to one another. Let's take the multi-currency feature in QBO. If your company has this feature enabled and converts it to QBDT, the process may fail or lead to an empty company file.

You can open this article for information: Limitations when you convert from QuickBooks Online to QuickBooks Desktop. It lists data types from QBO, along with a brief description of how it converts into a QBDT company file.

It's best to contact our Technical Support team for assistance. They can assist with any possible issues you can bump into during, and after the process.

See this article for the steps: Contact QuickBooks Desktop support. Please take note of their operating hours, so you know when they're available.

Post a reply if you have other questions about conversion in QBO. I'll be sure to get back to you.
