printer setup

The printer I was using for QBs is no more and I need to set up a new one but when I click on PRINTER SETUP in the FILE menu it doesn't do anything.  Can anyone help me get a new printer option set up?

You'll have to ensure that the printer is set up correctly and its name matches exactly with the one you intend to use in QuickBooks Desktop (QBDT). I'll share some steps to help you resolve your printing issue.

First, could you confirm if you received any error messages while attempting to set up your new printer? If so, please share the message, as any additional information will help us provide more accurate solutions.

To resolve this issue, check that the printer is online and connected to your computer. Verify its status to make sure it’s powered on, connected to the network, and not displaying any error messages. Here’s how:

  1. Turn your printer off and restart your computer.
  2. Turn it back on and ensure you have loaded the printer paper correctly.
  3. Click on Start, and select Control Panel. Then, double-click Printers and Faxes.
  4. If the printer shows as Offline, right-click on it and select Use Printer Online.
  5. Double-click on the printer. If there are print jobs displayed in the queue, select Printer. Then, click Cancel All Documents.
  6. Close the window.
  7. Right-click on the printer, select Properties and then choose Print Test Page.

If you're using a network printer and the test page doesn't print, there could be network issues.

Once you've completed these steps, please follow steps 2-3 under the Solution 2 section in this article to print to your new printer: Fix printing issues in QuickBooks Desktop.

Also, make sure that your QBDT is updated to the latest release. This will help you get the newest features and fixes with the software.

Additionally, you may find it helpful to check this article with step-by-step instructions on how to save and print PDF files in QBDT:  Save QuickBooks Desktop PDF in legal size, landscape, or portrait orientation.

I would appreciate it if you could tell me more about the situation by leaving a comment below. I'm always available and ready to assist you if you have any further questions or need additional assistance with setting up your printer.

I'm not sure you understand my situation, I have had PDFCreator set up in QB's for years to "print" to and now that this software has stopped working this week I also can't print anything from QB's.  I would assume it is trying to use the non-working PDF Creator software and what I need to do is direct it to another printer option but when I do what all the online help tells me to do (File>Printer Setup) this does absolutely nothing, it doesn't open up anything, it doesn't take me anywhere and it gives me now message.

Hi there,

Thank you for getting back to us and providing additional details. I have some troubleshooting steps to ensure you can print from QuickBooks Desktop (QBDT).

First, could you please share the error message you are receiving? Any extra information would be greatly appreciated.

When having issues when printing, we can run the QuickBooks Tool Hub, which can help fix common errors. I recommend using the QuickBooks Print & Print Repair Tool from the Tool Hub for the best results, preferably on Windows 10, 64-bit.

To do this, here's how:

  1. Close QuickBooks.
  2. Download the most recent version (1.6.0.8) of the QuickBooks Tool Hub and save the file somewhere you can easily find it.
  3. Open the file you downloaded (QuickBooksToolHub.exe).
  4. Follow the on-screen steps to install and agree to the terms and conditions.
  5. When the installation finishes, double-click the icon on your Windows desktop to open the tool hub.
  6. In the QuickBooks Tool Hub, select Program Problems.
  7. Select QuickBooks PDF & Print Repair Tool. It will take about a minute to run.
  8. Print, email, or save as a PDF from QuickBooks Desktop again.

If the issue persists, please refer to the other solutions provided in this article, starting with Solution 2Fix PDF and Print problems with QuickBooks Desktop.
