Quickbooks Online Deleting a Statement

I'm new to QBO and was playing around with Reconcile and saw the option to add a statement. I assumed it meant to upload a copy of the bank statement PDF file I was using to reconcile the account, which I did. How do I delete this inadvertently uploaded file?

Good to see your post in the Community, CaptainSensible.

You'll want to undo the reconciliation to remove the attached PDF statement from the reconciliation page. This can be done by manually editing the transactions within the register. I'll show you the steps below:

  1. Go to the Accounting menu. Then select Chart of Accounts.
  2. Find the account and select Account history or View register.

  3. Select the transaction you want to unreconciled.
  4. Click the box with "R" and keep clicking it until the box is blank. This removes the transaction from the reconciliation.
  5. Select Save.

Feel free to read through this article for the entire process on how to undo reconciliation: How to Unreconcile a Transaction or Undo a Reconciliation.

Once done, you can re-upload the correct statement PDF. Have this article as your guide: Get bank statements directly from your bank when you reconcile.

I'm actually trying to view the PDF statement as well and when I select View Statement an empty windows pops up and disappears. I'm assuming the purpose of uploading Statements after reconciliation is to actually insert a copy of the PDF copy of the bank statement used during the reconciliation process, am I correct?

You've got it right, @CaptainSensible.

The purpose of uploading Statements after reconciliation is for users to insert a copy of the PDF form of the bank statement used during the reconciliation process.

This also acts as a point of reference if you need to review past reconciliations in your account. When you complete your reconciliation, you'll be prompted with a pop-up message that says Upload Statement. To proceed, simply browse your bank statement file on your computer.

Awesome, thanks. So I uploaded a PDF and it shows up under the reconciled tab but when I click on the link for the bank statement file a blank window quickly opens and closes...

Thanks for getting back with the Community, CaptainSensible.

Since your statement isn't displaying properly, I'd recommend checking your browser. It's possible this could have something to do with temporary internet files. Browsing applications store these types of records, but sometimes they can cause issues with certain webpages. You can open a private window and check to see if the file displays correctly.

Here's how to access incognito mode in some of the most commonly used web browsers:

  • Google Chrome: Ctrl Shift N
  • Mozilla Firefox: Ctrl Shift P
  • Microsoft Edge: Ctrl Shift P
  • Safari: Command Option P

If the same issue repeats while browsing privately, it's safe to say this problem's being caused by your browser. It can be fixed by clearing cached data and Intuit-specific cookies.

In the event it continues occurring while using incognito, you'll initially want to try switching to another browsing application.

Here's a list of supported browsers:

  • Google Chrome
  • Mozilla Firefox
  • Microsoft Edge
  • Safari 11 or newer

You can also check a browser's compatibility with your books by utilizing our browser health checkup tool. QuickBooks supports the current and two previous versions of browsers. If you find that you're using an older version, make sure to update it to its latest release. Steps for doing so can be found on the particular company's website.

In the event you've found no problems that could be causing this with your browser, I'd recommend using a different device and/or internet connection. If it continues happening on other devices and/or internet connections, you'll want to get in touch with our Customer Care team. They'll be able to pull up your account in a secure environment, conduct further research, and create an investigation ticket if necessary.

They can be reached while you're signed in:

  1. Use the Help (?) icon.
  2. Click Contact Us.
  3. Enter a description of your situation in the What can we help you with? field, then hit Let's talk.
  4. Select Start messaging or Get a call.

Be sure to review their support hours so you'll know when agents are available.

I've additionally included a detailed resource about system requirements for QuickBooks that may come in handy moving forward: System requirements

If there's any questions, I'm just a post away. Have a great day!

I did try using Chrome vs Firefox and the statement appeared, thanks.

One more question, how do I move a statement from Unreconciled to Reconciled? Also, when i click on Send Feedback nothing happens in both Chrome and Firefox

Let me add a few thing about how you can manually reconcile a transaction, CaptainSensible.

There are two ways to reconciling an account. First, manually changing the status in the bank's register. Doing this causes the Reconcile feature not to detect the date when it was reconciled but affects the opening balance. Second, reconciling through the reconcile page where it creates a reconciliation history report that shows each transaction included.

  1. Go to the Gear icon at the top, then choose Chart of Accounts under Your Company.
  2. Select the appropriate account and select View Register on the Action column.
  3. Locate and select the transaction.
  4. Click the Edit button.
  5. In the Reconcile status column (indicated by a checkmark), keep clicking the field to change the status, then Save.
    • C - Cleared.
    • R - Reconciled.
    • Blank - Not cleared or reconciled.

Feel free to read through this article for the entire process on how to undo reconciliation: How to Unreconcile a Transaction or Undo a Reconciliation.

Once done, you can re-upload the correct statement PDF. Have this article as your guide: Get bank statements directly from your bank when you reconcile.

I'm chiming in to share some information about your query, @CaptainSensible.

You can undo a statement's reconciliation status. To begin, these are the steps:

  1. On the left navigational bar, go to Accounting tab and then select Chart of Accounts.
  2. Locate the account that contains the statements that like to undo the reconciliation status.
  3. Click View register below the Action column.
  4. On the bank register, you'll see the list of statements. Locate those that you'd like to change the status to reconciled.
  5. By clicking you can change the status on check column from "Blank" unreconciled or "C" cleared to "R" reconciled.

A reminder, you can only undo a reconciliation status in QuickBooks Online one at a time. In case you need to undo the whole reconciliation period at once, you'll need an accountant user to do it for you.

You can also send your feedback here.
