941 form interview is missing a place to add where payroll records will be kept after business closes.

I completed a final 941 for a business that closed and e-filed the 941.  Quickbooks sent me an email saying that the return was not accepted because though I checked the box on the 941 interview form that said I did not have to file returns in the future, I did not provide the name and address where the records would be kept in the future.  When I went back in to the form I see that there is nowhere to enter the name and address of where the records would be stored.  There is a place for this on the 940 form but not the 941.  I am upgraded to the latest update.  Does anyone have any comments on this?  Am I missing something?

I'm happy to help out with this. QuickBooks doesn't fill out this line on the 941. At this time, all final 941 forms must be manually submitted to the IRS via mail or directly on their EFTPS website.

I had this same issue.  The email from Intuit specifically stated:

"Step 2. Be sure the final return checkbox is checked as well as the full name of the person keeping the final payroll records and the complete address where those records will be kept is entered on the Federal 94x Interview Worksheet and resubmit your return. "

I have reviewed the interview form and spent an hour online with chat telling me all sorts of misinformation about changing the mailing address on the submission, etc. - ignoring what the email said, ignoring the fact that there is nothing on the interview form, etc. I finally got frustrated and ended the chat.  Since I can't find a phone number to get desktop payroll support, I guess I will print and mail it instead. What a waste of my time with chat though.

can you tell me where on the EFTPS site I can submit forms?  I am not seeing that option.

Hi meritagesue, 

 

You'll want to make sure that you're opening the 941/Sched B form so you can view the "If your business has closed or you stopped paying wages" option. However, if you're still unable to see it, you can get the latest payroll tax table update to successfully view the option.

Also, you must enroll in the federal Electronic Tax Payment System (EFTPS) first so you can submit forms. Here's an article for more information: Understanding the E-File and E-Pay services.

My 941 has the business closed checkbox option, mine was rejected because I did not in a separate letter confirm the name and address of the person who will be holding the records.   Per the email from Intuit, it appears that this should be possible on the interview sheet, and while I thought that the update yesterday gave me the latest, I did a new update this morning and I see this on the interview sheet now.   One of the forms had this previously, so I don't know if it was this one and it was lost in a prior update and back again now? 

My one remaining question is will the information be transmitted to the IRS electronically (added info about records storage) or as Michael stated, do I need to print and mail instead?

Rejected forms by the agency need to be corrected before resubmitting them.

 

Below are the steps to complete the process:

 

  1. On the File Forms screen, go to the E-Filings section.
  2. In the Status column, if the status is Agency Rejected, then the agency has rejected the form and sent a reason code and possible solutions.
  3. Click the Agency Rejected link.
  4. In the E-filing Rejected window, review the form information and the problem and solution messages sent by the agency.
  5. Click Close to close the E-filing Rejected window.
  6. Resolve the problems that caused the form to be rejected.  Follow the solution sent by the agency (from step#4).
  7. Resubmit the payroll tax form.
  8. Check the status of the form you have resubmitted.

I have done all of those things Maria - my question is whether what Michael advised above is accurate, that a final 941 can only be submitted by mail in order for the records storage person information to be provided to the IRS?

Thank you, I will submit by mail.  I am already enrolled on the IRS EFTPS site but do not see an option for submitting this form with the notes, so I think a mailed version is my best option.
