I need help setting up a user who can see a P/L and Balance Sheet and Accounts Receivable Reports but NOT payroll reports. Is this possible?

I'd be pleased to help you manage a user that can access those specific reports in QuickBooks Desktop.

 

You can modify the user's permission to access the P&L, Balance Sheetand Accounts Receivable reports. Here's how:

 

  1. Click Company at the top menu bar and select Users, then Set Up Users and Roles.
  2. Enter your Password. Go to the Role List tab and double-click Accounts Receivable
  3. Find and click the Reports**.
  4. Select the Company & Financial**.
  5. Under the Area Access Level, choose Full.
  6. Hit OK.

 

After that, you can assign this role to your user.

Desktop User Preferences

Thank you for the clear instructions. I do not want this user to see payroll. When I mark in the report area, to see company and financial reports, so that he can see the balance sheet and profit/loss reports, the user can see a payroll summary. I have tested marking and unmarking many times and can't find a solution. The user isn't able to "drill down" on a value in the payroll summary but can bring up a full blown payroll report. I am very frustrated. At this time, I am just printing reports for this manager as needed.
