Invoice subject is changed when attaching file in Quickbooks

Hi,

 

I have one question. When I record an invoice on QB, then attach a file on that invoice and sent it to our client, the name of the file is changed. For example:

- Original subject: 2018 12 Invoice to Tricentis - SOW 2

- Changed version: 2018_12_invoice_to_tricentis___sow_2

 

I have highlighted the changes above: Uppercase is changed to lowercase, spaces are replaced by underscores. This makes my original format not formal at all.

 

Is there any solution to keep the subject's format not changed?

Thanks for reaching out to us here in the Community. I'm here to help fix the issue you're getting with the invoice you sent to your client in QuickBooks Online (QBO).

 

I check if there's an ongoing issue about this but there isn't currently one. But don't you worry! I know a workaround that can help us isolate this.

 

Try logging into your QBO account using a different or a private browser. There are times that the browser is full of frequently accessed page resources, thus causing some errors and/or unusual responses.

 

Here's how to use a private browser:

 

  • On your keyboard, press Ctrl + Shift + N (Google Chrome).
  • Ctrl + Shift + P (Firefox or Internet Explorer).
  • Control + Option + P (Safari).

 

Once logged in, try to create an invoice and sent it to your personal email to check. For your reference, you can visit this article for more information: How to set up or change customer messages.

 

If it'll work, go back to your default browser and perform clear cache to remove temporary internet files on your computer. Before doing so, make sure to take note your saved passwords and URLs. Hi,

 

I have tried sending an invoice to a client by another browser (Internet Explorer) but it doesn't make any sense at all. The file's name still has been changed. Please refer to the image attached for your clearer view. 

 

Besides, not only I but my colleagues also suffer the same issue. 

 

I really thought that this issue comes from Quickbooks system. Could you double-check and let me know what it is?

As of now, QuickBooks Online automatically rewrites the file name of an attached file with underscores as separators instead of spaces.

 

While there isn't an option to override this setting, I recommend sending feedback to our engineers. This is a great idea on how we can improve our product specifically on sending invoices. This way, they can check on it and consider this for our future product updates.

One more question. How about the issue that uppercase is changed into lowercase in the file's names? Is it the problem that QBO currently cannot solve?

We haven't had any reported issues about the formatting in file names. It automatically changes from uppercase to lowercase as per the default format in the invoice file names.

 

I suggest sending a feedback to our engineers. This way, they can consider adding it to their future update release.

 

Here's how to send feedback:

  1. Click the Gear icon.
  2. Select Feedback.
  3. There is a list of help articles related to your comment. You can read them through or select Skip and send message.
  4. In the Category drop-down, select your preferred category, and click Send message.

I am having the same problem with the attached file names being converted to lower case.

 

I attached a file to my invoice called "File Name.pdf".  When the invoice is emailed thru QBO, the file name capitalization is changed to "file name.pdf".  Sometimes all lower case looks unprofessional or does not capture the intended meaning. 

 

I tried making it lower case to see if it would convert to upper, but alas no.

 

This seems like an easy bug to fix.  How do I tell QBO to leave my file names alone?  Thanks!

I checked if we have similar open cases about this and I can't find anything at the moment. I also tried sending an invoice to my own email with the same subject and it stayed the same when I opened it.

 

Have you tried sending them using a different browser (Google Chrome, Mozilla Firefox, Microsoft Edge, and Safari)? If so, I would suggest reaching out to our phone support so they can take a closer look and determine what's causing the issue. Here's how:

 

  1. Go to the Help menu and click Contact Us.
  2. Let them know that the subject in your emailed invoices are being changed.
  3. Click Let's talk.
  4. Select the Chat or Get a callback option.

I have the same issue as the others. When using api to upload files as attachable, any uppercase in the name of the attachable file is converted to lowercase by the api. Is this intended? What are the benefits if so? I agree with the other developer that it can look unprofessional. Has a ticket been raised for this bug?
