Can someone tell me where to find a listing of letter templates that were customized? When I send emails to invoiced customers along with a copy of their invoice, there is a drop down list of custom letter templates to choose from. I cannot locate the source for that list to edit/add letters. Can someone direct me through the steps to find them?

TIA!

Thank you for posting here in the Community, @dgordon11.

If you wanted to customize the letter template of invoice in your QuickBooks Desktop.

I can help you with how.

  1. Go to the Customers tab.
  2. Select Customer Center.
  3. On the upper portion of Customer Information, click Word ∇.
  4. Then, select Customer Letter Templates.

There will be a popup window and will ask you to choose what you want to do. From there you can view or edit the template letter for the invoice that you’ve created.

Thank you but following that path led me to the same place as Company> letters> etc. My custom templates are all gone. BUT they are still in the drop down menus! I just can't find the list of them.

Thank you for getting back to us, @dgordon11.

I'm here to help you locate the list of custom letter templates. Let me show you how.

  1. Go to Company
  2. Select Prepare Letters with Envelopes and choose Customize Letter Templates.
  3. Choose View or Edit Existing Letter Templates, then click Next.
  4. From the Choose a Letter Template to View or Edit window, you'll see the list of available templates.

Once making that selection and clicking Next, QuickBooks will start the Word document and open the template.

To restore missing customized templates, check out this article: File Location.

If there's anything else that I can help you with, please let me know in the comment section down below.

Yes thank you I saw that. The problem is my custom letters are not listed. It’s very strange because I can access the letters when I need them to attach to an invoice but I cannot find a list of them anywhere.

Thank you I did that. The problem is that when I go there my custom templates are not listed. I can see my custom letters when I need to attach them to an invoice and send an email, but I can’t find a list of them anywhere so that I can delete add or edit.

Hello dgordon11,

When you create the templates, you'll be asked to save it on your computer. Hence, you can only delete the templates on where they are stored.

Once you decide to use the templates within QuickBooks, you can browse them to the folder and only the active templates will be available.

We'll be right here if you have more questions.

I guess you are not understanding my problem. I CANNOT FIND the place where they are stored. WHen I go to COmpany> Letters>review templates, my custom letters are not there. THat is precisely what I am trying to do, find the place where my custom letters, the ones that I can see from the drop down menu to attach to invoices, are.

Thanks for getting back to us, @dgordon11.

Since you're unable to see the custom letters after following the steps shared by my colleagues, let's check if this is something to do with data damage. In this case, let's run the QuickBooks built-in diagnostic and repair tools called rebuild and verify data utilities. These tools will repair and notify you of any possible data damage within the file.

Here's how:

  1. In QuickBooks Desktop (QBDT), go to the File menu at the top to get to the Utilities and Rebuild Data.
  2. Choose OK. Follow the prompts to save a backup.
  3. Click OK once completed.
  4. Now, go back to File, then Utilities, and select Verify Data this time.

If QB detected no problem with your data, hit OK. However, if it finds an issue, you will be prompted to Rebuild Now or View Errors. Choose Close, then perform the steps below. Here's how:

  1. Locate and check the QBWin.log or QuickBooks.log files.
  2. Scroll to the bottom for the most recent Verify information.
  3. Find the line that contains the LVL_ERROR, then check Top data damage errors in QuickBooks Desktop.

For additional information about the process, consider checking out this article: Resolve data damage on your company file.

Please let me know how it goes or if you have any other issues or concerns. I want to make sure everything is taken care of for you. Have a wonderful day!
