Multi user in QB's 2020 Desktop Pro

Three weeks ago I set up QB's multi user with a lot of help from QB support (yay!).  My laptop is the server, another laptop is the only workstation.  We scanned in 8 companies.  Now one of the companies only offers Admin sign in on both the server and the workstation.  The others offer a choice between Admin and the other user.

I have downloaded the Tool Hub and used both the Quick Fix (no change) and the File Doctor -- which reported a successful repair after rescanning the troublesome company file.   But, the problem remains.

I have gone in and out of the multi user mode for this company while working in it and it shows that it is in multi user at present, as is the work station.  Thanks in advance!

Hi lsundstrom,

 

Having eight company files, I would assume that their setups are the same that's why you didn't expect this behavior on one company file. I also assume that you already set up other users in that particular company file.

 

You can run the Verify and Rebuild data utilities to check the integrity of that particular company file. Or, recreate the user profiles and rescan the file. If the issue persists, please contact our QB Desktop Support to check this further using more tools.

 

You can always go back to this thread if you have other questions in mind.

Hi Jess,

Thank you for the quick response.  Your assumptions are correct.  I believe recreating the user profile and rescanning would do it, but I don't remember how to create a profile.  Can you send a link or instructions, please?

Let me explain to you further about creating and linking Intuit Account (IA) in QuickBooks Desktop, lsundstrom.

 

When you create a new company file in QuickBooks Desktop, you might see a prompt to log in using your Intuit account ID.

 

QuickBooks has a new option to link your Desktop account company files to your Intuit Account. Instead of having to log in with a user ID and password each time, you can sync with your Intuit account and will only have to log into the file every 90 days. Though, linking your file to your Intuit account is optional.

Jess,

I did verify the data integrity of the troublesome company and it was fine.   But your suggestion about creating a new profile led me to the solution.

The solution was two-fold:

1.  The User who could not access the one company in question was no longer on the profile list of the server.  Don't know why.

2.  The file being accessed by the User was an older version of the company in question that was resident on the workstation's hard drive, not the internet accessible version on the server.  

Once those two issues were addressed, the multi user access was restored to the workstation for the troublesome company.
