I was excited to start using the new Outlook (May 2023), which looks and feels more like Gmail (very visual). The Outlook e-mail connector with QB has always been limited and frustrating, so I was hopeful that we'd get improvements with the new version, but I quickly discovered that the new Outlook is currently incompatible with QBD. It will not allow e-mails out of QBD with the new Outlook version turned on and e-mailing directly out of QBD is the only thing that gives the payment button to our customers. Otherwise, I have to save the Invoice as a PDF and then send it through Outlook itself.
Yes, I had our IT department run a fix, but unfortunately, it didn't work. I was then advised that I should revert back to the old Outlook for now and wait a month or two to try it again or be on the lookout for updates.
Has anyone else had this experience yet or found a solution?
It's not the kind of experience we want you to have, @EH in CT.
Let's resolve the error you're having when trying to send invoices through the new outlook.
We recently have an issue when trying to send your sales forms to your customers like invoices in QuickBooks Desktop (QBDT). However, it was already resolved.
Since you're still encountering this error with your invoices, I suggest reaching out to our Customer Support team. They can check your account in a secure environment and help you resolve it.
Follow the steps below on how to reach them:
You can check this article for more information about the different types of support we offer and their availability: Contact QuickBooks Desktop support.
In the meantime, I suggest using a webmail (Gmail, Yahoo Email, Windows Mail, Hotmail, and AOL) when sending your emails. Here's detailed guidance on setting up your preferences: Connect your email to QuickBooks Desktop.
Let me know if you need further help about sending your invoices or other sales forms from QuickBooks Desktop. I'm always here to help. Have a great rest of the day!
Thanks, @MJoy_D. I tried the online chat and did so with two agents. They suggested that it was an Outlook problem and not a QBD problem. The thing is I'm able to e-mail in and out of the new Outlook just fine. It's when I try to e-mail from within QB that it will not work with the new Outlook.
As advised, they tried the fix/patch and I rebooted my computer and the connector stiil will not work.
I'll have to continue to use the old Outlook when using QB until a solution is available.
It's not just you. And I doubt it's just you and me, either. It's in an incompatibility that I'm sure they'll never fix, but will be happy to give roundabout non-solutions that don't even address the problem. I'm kind of glad they've jacked the prices sky-high this year. It will make it easier to finally leave, since the price differential is practically gone now....
We're slowly trying to implement a new project management software that supposedly interfaces with QBD, which will make life so much easier if/when we can get that to happen. Then I don't have to live inside QB fighting with it day in and day out.
Good luck to you!
just checking since it's been awhile, is the new Outlook still not compatible with Quickbooks?
Thank you for joining the conversation, WesterFence.
Upon checking our records, we haven't received any reported cases of a new outlook that is incompatible with QuickBooks Desktop (QBDT). If you see an error message "QuickBooks is unable to send your email to Outlook," this is usually just a settings issue.
We should modify your administrative privileges and verify that QuickBooks is not configured to run automatically with the administrator.
Here's how:
Launch QuickBooks and proceed to send a test email or transaction. If you encounter any errors, proceed to Step 2 in this article: How to fix "Error: QuickBooks is unable to send your email to Outlook."

Hi @WesterFence,
I just tried it again and it's still not allowing e-mails to go out from QB Desktop using the new Outlook. I have the most current version of Windows installed and am running Enterprise version 23.0 of QBD.
I get a pop up that reads "QuickBooks Desktop is unable to send your emails to Outlook. Close any open Outlook windows and try again". I did that and then Outlook opened then closed itself and reverted back to the previous version.
I see that there's new instructions posted since your inquiry on 10/02/2023, so I will have our IT people try that and see if they can get it to work this time.
The top of this thread dated 05/10/2023 was me reporting that QB Desktop was incompatible with the newest version of Outlook.
I'll have our IT people try your suggestion regarding the settings, as I just tried the new Outlook again after @WesterFence inquiry yesterday. It still wasn't working when I tried it today, so I'm missing out on a lot of great feature improvements in Outlook until I can get the incompatibility issue resolved.
Thank you @Maybelle_S
I was confused by me being told there was no such thing when I'm staring at such a thing. My admin setting was neither checked nor greyed out. I'm curious to see if you are successful, I do very much like the new Outlook features and it would be nice to utilize.
You're always welcome, @WesterFence. I appreciate your interest in using the new Outlook with QuickBooks Desktop. Feeling comfortable at your convenience is what we aim to offer for our users.
Since your admin setting is neither checked nor greyed out, you'll want to consider following Maybelle_S's instructions above to review the administrative privileges. Before proceeding, please make sure you've locally installed the new outlook. It will help us test their compatibility.
Once done, let's set up Outlook to work with QuickBooks by contacting your internet or email provider first to get the following info:
After that, follow the steps below:
For the complete details of setting up your email service, check out this guide: Connect your email to QuickBooks Desktop.
If you're still experiencing issues, I recommend contacting our Support Team. They can help you narrow down this issue and provide troubleshooting according to your situation. Note the operating hours to reach out during their availability.
Here's how:
With this information, you should be able to utilize the new Outlook with QuickBooks. Let me know if you need more help with the navigation within the product, I'll be here to help you.
I had our IT guy try the fixes you listed for using the new Outlook and it's still NOT working. Below is what happens:
Popup - “QuickBooks Desktop is unable to send your emails to Outlook. Close any open Outlook windows and try again”. I did that and reopened Outlook and got an “incompatibility” popup message. Outlook then reverted itself back to the older version (because of the QBD incompatibility).
So until an actual update has been applied within QBD, I'm stuck using the old Outlook.
Maybelle_S, here is how your reply would look if I e-mailed it from QBD (Mac) through New Outlook:

I highly doubt you would like your clients to receive an invoice message formatted this way.
Happy to learn that the Outlook compatibility issues with QBD are not only a me problem. I was told by Intuit team it was an Outlook problem, but I'm having no issues with Outlook with anything else I'm doing; only with QBD. And now with you reporting that Outlook for Mac is having other incompatibilities with QBD makes me think even more that it's a QBD issue that they need to tweak.
Hello there, everyone.

No good solution so far.
I am having the same problem, your support team says its a problem with outlook and microsoft says its a problem with quick books
Any updates to this? I am having the same issue as everyone else and this is an issue only when trying to send any sort of document from Quickbooks. It shows as a draft in my email that has no option to send it unless I revert back to the old Outlook. There is definitely a configuration issue going on in my opinion and come 2024 we won't be able to use the oud outlook. If this isn't resolved by Quickbooks by then I will have no choice but to find a new program for my buisness.
Have you had any luck resolving this issue? It is now December 2023, and I am having this same issue. Come 2024 we will no longer be able to use the old outlook and will be stuck with a problem there is no resolution for which will force me to have to seek a new way to manage my business without using Quickbooks. Has anyone found a resoluction to this problem?
The solution, as it seems like will be the solution to all QB problems, will be to switch to QBO. It's a shame. The Desktop version works perfectly well, and many of us have systems we're quite accustomed to within it. Even though they've changed Desktop to a subscription at virtually the same price as QBO, it seems they won't be happy until they have all customers online. You can barely even find information on or help about the Desktop software anymore. I'm sure that this problem doesn't exist in QBO, since it emails invoices from
[email address removed] and slaps their brand all over the invoice email. I like to think of my customers as "my" customers and not customers of "quickbooks," and prefer they get invoices from "me" with no external branding on it.
I guess this is what small businesses who can't pay to develop their own systems are relegated to nowadays. It's a shame.
I haven't tried recently, as I don't have much faith that QB/Intuit has done anything to fix it. I'm still using old Outlook for now to send invoices. The other option is to PDF the invoice and send directly from Outlook, but then you lose the payment link button option (if you use that).
Exactly what we're doing. Except I didn't know about the upcoming forced move to New Outlook (which for all reasons other than QBD I will welcome with open arms!)
