Not being able to customise your estimate number in QuickBooks Online is usually the result of outdated or corrupt cache files in your web browser. Not to worry, you can clear them in just a few easy steps.

 

We can press the F5 key on your keyboard to refresh the page. If you're still unable to customise the number, we can do some of the basic troubleshooting steps. Use these keyboard shortcuts:

 

  • Google Chrome: press Ctrl Shift N
  • Mozilla Firefox: press Ctrl Shift P
  • Safari: press Command Shift N

Once signed in, let's go back to your estimate screen and customise the number.

 

If the private browser works, you can clear the cache depending on which browser you're using through this helpful article: Clear cache and cookies to fix issues when using QuickBooks Online.

Brilliant that cleared the problem and we are back on track with the quotations.

 

One thing that would be nice to have is a template for Quotations, not just Estimates. My customers don’t like estimates, so I have to ‘tweak’ the Estimates form, which doesn’t look so good.

How do I prevent connected apps from changing my estimate numbering order? I now have estimates with anywhere from 1 to 8 digits at any given time. Is the only way to keep order by making a manual change each time a estimate is entered? Or correcting one from the connected application?

You've come to the right place,muenstermann.

 

In QuickBooks Online, you can simply input the estimate number you want to associate on the transaction under the Estimate # section. When recording a new estimate, it'll use the previously entered one. If you wish to change the number, you have to do it manually. You may also consider using a third-party application to help you correct and keep the estimates numbering in order.

The numbering issue I have sorted. My big problem is the form name “Estimate” when my customers want “Quotations”.

this needs to be changeable from Estimate to Quotation, as they are legally completely different things.

Thank you for coming back to the thread, pckbespokedesignI can share the steps to change the entry name from “Estimate” to “Quotations”. 

 

You can go to the Custom Form Style page and customize the form name from there. This way, when the entry sent to the customer, it will show as a Quotation.

 

Here's how:

 

  1. Go to the Gear icon in the upper right corner.
  2. Choose Custom Form Style.
  3. Click the New style drop-down button. Then, choose Estimate.
  4. Go to the Content tab. Then, click the header part of the entry.
  5. Change the Estimate to Quotations under the Form names box.
  6. Hit Done.
