Products and services appearance on estimates and invoices

Two issues regarding how my products/services appear on estimates and invoices:

1)  On certain products/services, the fields appear different on the online view vs the pdf view.  For example, in the attached file of both views, the quantity for item #6 is 1, but the quantity is dropped in the pdf view.

2) How do I change the product/services "itemization" in the pdf view?  For example, item 7 is showing as hr, item 8 is showing as unit, and item 9 has no itemization.  How do I fix/change these values for each product/service?

Thank you for providing a visual representation of your invoice view in QuickBooks Online (QBO) and a PDF. I'll assist you in correcting the values for each product or service.

Any information entered into QuickBooks will automatically appear in your PDF. Modifying the rates or quantities in QuickBooks will also update them in your PDF file. I've noticed discrepancies in certain items that do not align with our system's records. To address this issue, consider deleting and recreating the transaction. Then, print or save it as a PDF again to verify the result.

To start:

  1. Open the invoice.
  2. Click on More, then Delete.
  3. Tap Yes to confirm the action.

If you encounter the same issue, save your invoices using a private window, as the browser cache may impact this experience. This procedure can help eliminate any problems caused by cache-related issues. You can save time by utilizing either of the following keyboard shortcuts:

  • Google Chrome: Press CtrlShift N
  • Safari: Press Command Shift N
  • Mozilla Firefox: Press CtrlShift P

After that, clear your browser's cache to refresh the system.

You can find more tips while working with your invoices in our system from this link: Create invoices in QuickBooks Online.

Please let me know in the comment section below if you have follow-up concerns about the product and service's appearance on your transactions. I'm just a few clicks away to help you again. Have a good one!

I'm still very confused.  Still have the same issue after following your recommendations.

Also, I'd like to add/change an existing service as a flat rate instead of unit.  However, when I try to add a new service, I do not get the window shown in the you tube video an create invoices in qucikbooks online.  Rather I get a pop up asking for product/service information (bottom image).  How do I go about adding or changing an existing service so I can select unit or flat rate.

I'm sad to hear that you're still facing the same issue, @harken.

I understand how frustrating this can be, and I want to assure you that I'm here to assist you in resolving this matter.

In response to your previous concern, we can review your invoice or sales format to ensure that the margins are accurately set up to display the data on the pages.

Regarding your question about adding or changing an existing service in QuickBooks Online, it seems like you're experiencing a different interface than what you've seen in a YouTube video. Based on your screenshot, it appears that you are using the old invoice template, which is why there isn't an option to modify the service item by flat rate, by hour, or by item.

If you have the option or any button to change your invoice template, you can enable this to experience the new features. If not, we can wait for your software to incorporate the new feature.

In case you need to change the item type for a product or service, you can utilize this link to guide you: Change product and service item types in QuickBooks Online.
