Trying to reduce the file size (QB Pro 2009) but the Clean up company data does not work

I am using Quickbooks Pro 2009 (don't laugh) on a standalone, no internet connected computer, no network.  We run 7 companies on this program but we recently had a few abort issues with various files (most recent is C-343 and older ones are -6000, -301). I now have all 7 qbw files that I want to use as my MASTER to start updating the last 3 or so weeks of transactions (we just use the A/P and A/R).  The files are working fine for me although when I upload the files to our accountant, they are unable to open them (seems like it times out??). In an effort to reduce the file size, I tried the "Condense or Clean up company data" on our largest files which is 311 000 KB (QB Pro 2009) but the "Clean up company data" function doesn't work. It shows the completed progress bar and then it "verifies the data" and then aborts and notes the C=343 error message (the connection to the company file has been lost....).  When I log back in, the files I wanted to condense, were not condensed. I even reduced the "remove closed transactions on or before" to the oldest year, 2007, and keep doing this process one year at a time until I reach the desired date. For the heck of it, I removed and re-installed the program from our CD.  Thoughts?

I know why you encounter errors when utilizing QuickBooks Desktop (QBDT), KLE24. Allow me to discuss this further here.

Please know that QuickBooks Desktop Pro 2009 has already been discontinued. You no longer receive the latest critical security patches and updates, causing compatibility issues when navigating the program. Therefore, you'll want to upgrade your QBDT to the latest/supported version to continue utilizing it when managing your business finances.

@KLE24

Which Windows Os do you run? Win 10 or 11?

Which QB Desktop year version does your accountant run to open your company files?

Trying to reduce the file size (QB Pro 2009) but the Clean up company data does not work

Hi, The C=343 error often indicates data corruption or issues with the company file structure in QuickBooks Pro 2009. I recommend creating a backup, running the Verify and Rebuild Data tool, and then trying the condense process again in smaller increments.

I'm afraid your company files are damaged. Open the sample file. Did you encounter the same error message?

Try opening your file in a newer version (e.g 2014) and run the Condense Data utility.

The QB Pro 2009 desktop (w/ CD) is the latest version we have for our standalone computer. It is not connected to the internet and not on a network.

Ok, I will try this now. I originally asked the system to condense just 1 year (2007) but maybe I have to try 1 month at a time?  Also, on my backup copy options, I am choosing the "quicker verification".

Trying to reduce the file size (QB Pro 2009) but the Clean up company data does not work

I opened the 2008 product based business sample file and created a backup (I chose the recommended Complete Verification). It verified the data integrity, backed up and saved the Rock Castle Construction file.

I was in the file and functioning fine. From the file menu, I started to create the backup copy and an error message popped up….”Verify has detected a problem that prevents backup from continuing”

Yes, it is very possible that your file is corrupted. You should consider purchasing a third-party file repair service. Contact @Fiat Lux - ASIA for details.

I have an older file I can re-input payables and receivables.  Our accountant let me know which reports she needs to run instead of sending her the file.  What is the latest version of QB that is a desktop program (CD install)?

Trying to reduce the file size (QB Pro 2009) but the Clean up company data does not work

Thanks for returning to this thread, @KLE24.

The latest version of QuickBooks Desktop (QBDT) Pro is 2024 and this program isn't a CD installation. If you wish to upgrade, I'll gladly show you the detailed instructions.

First off, you'll need to purchase the latest version of QBDT Pro. You can click this link to route you there: QuickBooks is best for you.

Then, upgrade your QBDT subscription. Here's how:

  1. Select Upgrade Now when the new version is ready.
  2. Click Keep old version on my computer if you want to keep your current version. Then, select Let's go to download, install, and activate the new version. It also updates your company file.
  3. Once done, select Open QuickBooks.

Please know that the time frame of the upgrade depends on your internet speed and the size of your company file(s). Check out this article for detailed info: Upgrade QuickBooks Desktop Pro Plus, Premier Plus, or Enterprise.

If you want to learn how to make your QBDT version up-to-date with the latest features and improvements, you can read this article: Update QuickBooks Desktop to the latest release.

Trying to reduce the file size (QB Pro 2009) but the Clean up company data does not work

Not sure if I need to upgrade to a newer desktop version or not but, if I do upgrade and go to the QB desktop 2022 (CD install since this computer is not connected to the internet), is my Windows XP Professional sufficient enough? I currently run our QB Pro 2009 on this machine.

Ok, thanks for the input. What is the last known CD install program?  And on any version available, would my current files (7 companies) port over from my QB Pro 2009?  We actually purchased the 2012 mac version which I never used since it had some limitations on what our accountants were needing (and it was connected to the internet which I didn't prefer).

As I know, QB Desktop 2014 is the last version you can run on Win XP. Do you have a USB port on your PC?

Trying to reduce the file size (QB Pro 2009) but the Clean up company data does not work

Your ongoing engagement in this discussion is greatly appreciated, KLE24. I'd like to take this opportunity to provide you with some details regarding the most recent requirements for QuickBooks and the process for acquiring a CD installation.

QuickBooks Desktop (QBDT) 2022 has specific system requirements users must meet to ensure optimal performance and functionality. One of the most crucial requirements is it operates on a 64-bit Windows operating system. As a result, QBDT 2022 is incompatible with any 32-bit system, which presents a significant challenge for users who may still be utilizing older hardware or software configurations. Since you're currently using Windows XP Professional, it’s important to note this version isn't supported by QBDT 2022. This version also requires internet access and Internet Explorer 11 (32-bit).

Additionally, the last known compact disc installation for QBDT is the 2023 version. However, since you're currently using QuickBooks Pro 2009, it’s important to note a CD for installation may not be accessible, as this version is no longer supported. We only provide discs to supported versions. In light of this situation, you might want to explore contacting various retailers or resellers to see if they have any CD installations for QBDT available. Many authorized retailers and online marketplaces may still carry older versions with licenses and include a physical discs.

Finally, once you obtain a disc or upgrade to a newer version of QuickBooks, you're now able to transfer all your company files. Before upgrading, it is necessary to create a backup file to safeguard your data. I'll attach an image for your visual reference.

After that, upgrading to a newer version of your QuickBooks Pro 2009 can be carried out seamlessly. To learn the exact steps involved in this process, refer to this article:
Upgrade to a New QuickBooks Desktop Version.

Comment below if you have any queries related to the above information, KLE24. I'm always happy to help and provide further assistance if required. Upgrading to a new software version can be an overwhelming process, especially when it involves important company files and data. Therefore, it is essential to double-check your backup file before proceeding with the upgrade. If you face difficulties or challenges during the upgrade process, share them with me in the comments section below.

You can download the installer file on another computer and use a USB flash drive to copy the file to your Win XP computer.

Trying to reduce the file size (QB Pro 2009) but the Clean up company data does not work

So the QBDT is the 2023 version is out of the question since my computer won't support the program.

Just thinking, is there a file size max capacity for one company for the QB Pro 2009?  Wondering, if we go to the QB Desktop 2014, if that would provide a better capacity and possibly make this larger company file at 311,000KB run quicker?  When I am entering the data and tabbing to the different fields in creating invoices or bills, it is the same fast speed as usual but, just recently, it is slow when I am saving the file to a USB and printing a copy of the invoice or printing the bill. Just thinking the reason it is slow is because of it's file size????

Navigate to menu File > Utilities > Rebuild Data

If you encounter error messages, it means your company file is damaged. Upgrading QB to a newer version does not guarantee the issue will be resolved. If you want to be sure, contact Fiat Lux and ask for the trial version of QB Desktop 2014. They can also help to fix your file.

If we purchase a Windows 10 computer and buy the QB 2023 desktop pro, I assume I can run all 7 companies off this same program (like I do now with the Pro 2009 version), correct?  And your team could help me with porting over the data.
