Selecting QuickBooks for a nonprofit

We run a small nonprofit; 5 unpaid board members, no payroll, no real equipment, and very little inventory. We are not tax exempt. We facilitate low cost spay/neuter procedures for local pets. We raise funds to help those unable to pay the full cost. Basically, all we need is a program to keep track of money in (donations, sales of small items, fundraising income, clients’ payments for surgeries) and money out (general business supplies, animal care costs, payments to surgery providers). We will also need to connect with our bank, and track receipts and invoices.

Which QuickBooks program will best serve our needs?

Selecting QuickBooks for a nonprofit

Welcome to the Community, @TSNP!

I am delighted to hear your desire to be a part of the growing family of QuickBooks. Let me share additional information to help you choose the best QuickBooks version that suits best your business needs.

QuickBooks offers an array of accounting software choices that cater to a wide variety of businesses. It has two different platforms to choose from QuickBooks Online (QBO) and QuickBooks Desktop (QBDT)

QuickBooks Online is an ideal solution if you are a service-based business that does not need inventory tracking options or does not have complex invoicing requirements. Here are some reasons businesses choose QBO:

  • Access from any location in the world including mobile devices, as long as there’s an internet connection.
  • Cost-effectiveness
  • Integrates with a broad range of additional apps that create a financial ecosystem for small business

You can refer to this article for detailed instructions on setting up a QuickBooks Online Non-Profit account: Configure an account for a non-profit organization.

On the other hand, QuickBooks Desktop allows for more in-depth reporting like manufacturing, inventory, and job costing. It is the best solution if you are a product-based business that has complex inventory tracking needs. Also, it allows for more users per file. Some top features include:

  • Multiple User Access
  • Job Costing if you use Intuit Payroll
  • Profit and Loss by Class, Service Item, Customer or Job
  • Forecasting
  • 1099s

Both versions are designed to give a non-profit organization the tools they need to succeed. The following link contains further details on this: Easy Accounting for Non-profits.
