Can Quickbooks Premier Plus generate a progressive internal number for part numbers?
In our former computer system, we used what we called an "inventory identification number" that the main computer system generated when loading a part number. We loaded the marketing part number, the vendor part number, and then the computer generated a number that it used to identify the part with. It added the numbers progressively. For instance, our marketing part number 123456 might have the inventory identification number of 15634. That just means that it was the 15,634th part number loaded. The next part number I load would have an inventory identification number of 15,635. The next would be 15,636.
Does Quickbooks Premier Plus have that capability? Or does it have the capability to create a serial number for a part? We need to find a way to generate an inventory identification number for each part we'll load.
Hello, Tiv.
I'll share some information regarding the serial number generation in QuickBooks Desktop.
Assigning a serial number for inventory is only available in QuickBooks Enterprise. If you're interested to know more, you can check this article: Use Serial or Lot Numbers.
In the Premier version, there are a couple of workarounds for this. You can assign a custom field to add the internal inventory identification number. You can also use the Manufacturer's Part Number on the item's settings if possible.
However in both versions, you'll still have to manually assign these numbers (since there are a variety of item serial numbers). We're unable to automatically assign a numbering sequence (like how transaction numbers work).
Going back to the workaround, you'll want to generate your item serial or identification number automatically then add it to QuickBooks.
Using the Custom Field method:
Enter the generated serial number on the previous window, then hit OK. You can see the data by adding a column on the Item List page. Here's how:
For the second workaround, you can use the Manufacturer's Part Number field. This only works if you don't have any other uses for it however.
If you need help managing your inventory items, please check out this article for a guide: Add, edit, and delete items. Need assistance with other tasks in QuickBooks Premier? Browse other topics here and look for an article.
I'll share a guide or two with you if you have more questions for the features in QuickBooks Desktop. Post them here and I'll reply as soon as possible.
The workaround of creating a new field under the part number is going to be the best way for the internal inventory number. Thanks!
You're welcome!

Hello I use Quickbooks Premier Manufacturing and Wholesale 2021. Is there a way QB could auto generate item #s for me?
Thanks for sharing your concern on this thread, @FrJay. I'll share some details about auto-generating item numbers in QuickBooks Desktop (QBDT), and I'll make sure that you'll be routed to the right place to find an alternative app.
At this time, the option to automatically generate item numbers in QBDT is unavailable.
You'll want to manually enter them one at a time or use third-party apps as a workaround. You can visit the QBDT Marketplace website to search for the right app for your business. You can scan through the site for a comparison of the possible apps for automatically generating item numbers.
In addition, you can check out this resource to learn more about managing your items in QuickBooks: Add, edit, and delete items.
