Subaccounts

I have created a number of GL accounts and wish to make some subaccounts of existing parent accounts.  Twenty-six are now subaccounts under severn parent accounts (fifty-six accounts total).  In my current session, I have added five new accounts (included in the fifty-six account total), two to be parent accounts, the other three to be subaccounts.  When I attempt to edit one of these and make it a subaccount, checking the "Is sub-account" box turns outline of the "Enter parent account" block red and none of the recently added accounts are available to specify as a parent. 

 

Have I encountered a limitation on the number of subaccounts (reading articles here indicates not), or is there another parameter that is limiting, or something else that needs to be done to establish a subaccount?

Great having you join us here in the Community, @Jason_Coleman. Let me assist you in sorting this issue about sub-accounts in QuickBooks Online.

 

Yes, sub-accounts in your Chart of Accounts count toward the Usage Limit total, which also depends on the subscription you have. Check your usage limits dashboard to know if you've already reached the limit.

 

Here’s how:

  1. Go to the gear icon.
  2. Then select Account and Settings.
  3. Select the Usage tab.


Here's an article you can refer to for more details on usage limits in QBO.

 

Additionally, when you reach your usage limits and can’t add any more items like users or accounts, you can either upgrade your subscription, or reduce your usage.

Subaccounts

Thanks for your note, @Carneil_C .  I checked CoA limits before I posted.  I have 63 accounts of the unlimited offered.  The issue isn't a matter of exceeding subscribed services.  

 

The peculiar observation is that when indicating an account is to be considered as subaccount, the "Parent account input box is highlighted in red and only the oldest GL accounts are listed as available to be identified as the desired Parent Account.  The other new GL accounts that I have created, and that appear in the Chart of Accounts, do not appear on the list of accounts available to be selected as the Parent Account. 

 

Why wouldn't the ENTIRE list of (same account type) GL accounts be listed as available for selection as a parent account?  (The account structure is only two levels deep: parent/child.  There are no parent/child/grandchild levels.)  

 

Any further advice would be much appreciated!  :-)

I'm here to ensure the newly created account shows on the list of the available accounts to be selected. I'm showing you a screenshot where I created an account, and it appears on the list:

 

 

You'll want to delete and recreate them. I'll guide you on how to make an account inactive in QBO:

 

  1. Go to the Gear icon.
  2. Select Chart of Accounts under Your Company.
  3. Find the account you want to delete.
  4. Select the drop-down in the Action column, then choose to Make Inactive.
  5. Select Yes to confirm the action.

 

If the issue persists, it could be that the stored temporary internet files are the reason why you're having issues. You can try accessing your account in an incognito window. These are the shortcut keys:

  • Google Chrome: Ctrl + Shift + N
  • Safari 11 or newer: ⌘ + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P

 

If it works, go back to your regular browser and clear the cache to eliminate the junk files. Otherwise, use another supported browser as an alternative.
