tracking lost shipping income

Hi! So we do a lot of shipping to clients which we bill for (we get a discount and charge the published rate), but there are times when the shipping is not added to the invoice. I would like to keep track of this amount if possible. I thought of adding a line item to the invoice and putting in the negative number. Is this the correct thing to do or is there a better way? Thank you for any and all advice!

Greetings, @sgreathouse.

 

I can help you track the shipping income in QuickBooks Online (QBO).

 

To start with, you'll have to turn on the Shipping option from the Account and settings page.

 

Here's how:

 

1. Go to the Gear icon.

2. Choose Account and settings. Then, go to the Sales tab.

3. Click Sales form content and make sure that the Shipping option is turn on.

4. Hit Save and Done.

 

Once done, you can now go to the Invoice page and start entering the transaction with the shipping fee. I've attached a screenshot below for visual reference.

You'll also have the option to enter a Service line item in the invoice. To do this, let's create first a Service item from the Product and Services page. Please follow the steps below.

 

1. Go to the Gear icon and select the Products and services.

2. Select the New button.

3. Choose Service.

4. Add a name. If you track SKUs, enter an SKU for the product.

5. From the Category dropdown, select that best describes your product or service.

6. Choose the I sell this product/service to my customers checkbox. If you don't sell the item, you can leave it unchecked.

7. Enter an amount in the Sales price/rate field. Note: If you charge a variable rate for services, you can leave the Sales price/rate data field blank. Add the price when you fill out the invoice or sales receipt.

8. Select the Income account dropdown and the account you want to use to track the sale.

9. Click the Save and Close button.
