Why does my QBO Estimate say "activity" instead of P/N in the Product/Service field? In the Styles I have it labeled as "P/N". When you preview or print its wrong.

In the Custom Form Styles I have it labeled as "P/N". Bu, when you preview or print the estimate is shows as "Activity" which is wrong.

Hi there, jim52.

I can share some information about how templates work in QuickBooks Online.

Activity is the default label for the product and services column of an estimate. To isolate the issue, please make sure to apply the appropriate custom template for your estimates. Here's how:

  1. Select Sales from the sidebar menu.
  2. Go to the All sales tab.
  3. Locate and open the estimate.
  4. Click Customize at the bottom.
  5. Select the appropriate template.
  6. Click Print or Preview.

If the same thing happens, you can perform some basic troubleshooting steps to fix the issue. It could be that the stored cache in the system is preventing you from viewing the correct label. First, access your QuickBooks account in a private or incognito window. This will help you rule in/out the browser as the root cause of the issue since this mode doesn't save site data. Feel free to use these shortcut keys to launch the window:

  • Ctrl + Shift + N for Google Chrome
  • Ctrl + Shift + P for Mozilla Firefox
  • Ctrl + Shift + P for Microsoft Edge
  • Command + Shift + N for Safari

When you're in, try printing/previewing the estimate again. If the label is now changed, you'll have to go back to your regular browser and clear the cache to improve the system performance. You may also switch to other supported browsers as an alternative.

Additionally, QuickBooks Online uses Adobe Acrobat/Reader in managing and printing your sales forms. You'll want to ensure that you're using the latest version of Adobe to avoid viewing issues in the program.

Lastly, here's an article that you can read to personalize your invoices, sales receipts, and estimates. This way, your customers will recognize your business brand.

Just drop a comment below if you have any other concerns or additional questions. I'll always have your back.

While in estimates how do I add a new activity between existing activities?

I can share some information about adding estimates, @rkarlsruher

Can you tell me more about where you are trying to add this new activity that you're referring to? That will surely help me provide an accurate solution to the concern you're having.

If you're referring to adding rows between line items, you can click on the + icon on the first column while working on a certain row in your estimates.

Here's more information on how custom templates for forms like invoices, sales receipts, estimates, statements, and purchase orders:  Use and customize form templates. This will help you to control how they look and what information to include.

After a customer accepts your estimate, you can convert that estimate directly into an invoice, refer to the following article: Convert an estimate into an invoice in QuickBooks Online.

I'm always here if you still have questions about your estimates. Let me know by leaving a reply below. Have a great rest of the day!
