Attached Documents Extraction from QB Desktop Enterprise

Hi! We are currently on QB Desktop Enterprise Solutions and attach all of our bills to be paid into QB.
We have 5 years of attachments within QB. I want to extract all of the documents for other purposes. I have looked in the "Attach" file within QB and there are no where near as many documents there as there are within the Documents menu when looking in QB. Has anyone been able to do this and how?

Attached Documents Extraction from QB Desktop Enterprise

Thanks for hopping into the Community. Let me share you with some insight about exporting the attached documents in QuickBooks Desktop, DBuell2.

The attachments are located in the Attach folder which is in the same location as your company file. We can save a copy of an attached document to your Desktop by navigating to the Doc Center. You can also click the paperclip icon on the QuickBooks transaction or item, then right-click and select Save Copy to Desktop.

To export the attached documents by batch, we'll need to email transactions or send forms (with attachments) using the QuickBooks email service. If you can't send them, just make sure the Send Forms preference must be changed to either WebMail or Outlook to select email transactions and attachments. For more details on how to set up your email in QuickBooks using WebMail or Outlook, refer to this article: Connect your email to QuickBooks Desktop.

If you need to extract the documents for 5 years from QuickBooks, you'll want to check for a third-party application that can help you with this one. You can check out the apps that are compatible with QuickBooks at this link: QuickBooks Desktop App Center. Just to enter a keyword in the search bar or browse through the categories to filter the results.

Any questions about integrating the app into your Online account are best handled by the third-party app provider. To learn more about QuickBooks Doc Center, you can check out this article: QuickBooks Document Center: FAQs and common issues.

Thank you for the reply! Can you clarify more on this:

To export the attached documents by batch, we'll need to email transactions or send forms (with attachments) using the QuickBooks email service. If you can't send them, just make sure the Send Forms preference must be changed to either WebMail or Outlook to select email transactions and attachments. I had looked in the Attach folder, as I had stated in my original post, and all of the attachments aren't there otherwise that would have been my first (and hopefully only) solution. So, that doesn't look like it is feasible at this point unfortunately.

Thanks for coming back, DBuell2.

For transactions with attachments, we can email them to your email address to have a copy of them using the QuickBooks email service. Let's make sure the Send Forms preference is changed to either WebMail or Outlook in order to select email transactions and attachments. Here's an article you can refer to for more details on how to set up your email service in QuickBooks Desktop using WebMail or Outlook.

On the other hand, you are right, the attachments are located in the Attach folder which is in the same location as your company file. If you save a copy of an attached document to your Desktop, we can navigate to the Doc Center. If you save them and there's no data stored on that folder, I'd suggest contacting our Technical Support Team. They'll pull up your account in a secure environment and help you with this one. Here's how:

  1. Go to the Help menu, then click on QuickBooks Desktop Help.
  2. Click Contact us.
  3. Type in a brief description of your concern under the Tell us more about your question: section.
  4. Choose Let's talk.
  5. Choose a way to connect with a representative.
