Creating a second invoice in QB with another logo

Dear QB, I am trying to create a second invoice template in that services the DBA that I have under our parent company.

 

This DBA has a totally separate name and a bank account too and I need to be able to invoice clients from that company, hence needing a separate invoice template which shows the company logo.

 

If you are allowed to create a DBA under American company law that can have a separate name and bank account, surely QB should allow you to be able to invoice from that company? 

 

Please please help.

 

I was persuaded to come back to QB by my accountant from Xero, who offers this service. And I am facing the same challenges I faced 2 years ago.

Welcome to the community.

 

I am not well-versed American corporate law as it pertains to parent companies, affiliates and financials. That's a legal question I'd seek legal advice on, just to make sure. 

 

Now, you can absolutely create invoices with different logos in QuickBooks. All you have to do is create and save multiple templates. It's not uncommon for the same business to use different invoice templates (styled and organized) for a segmented client-base. 

 

Again, regarding accounts and draw between different LLCs, seek legal advice and stay compliant!

In QBO the logo is company centric, you can not add different logos to different templates for the same company.


Some have said that in QBO+ with locations turned on and the details filled out differently than the parent company, you can do this. I have tried and tried and I can not get it to work.

 

If you know how to get it to work, please let have the step by step directions

Creating multiple invoices is not possible with different logos. I have tried and whichever logo is created in the company profile, is the logo that is added to all the variations of templates. I can't understand why Quickbooks chooses to continue to alienate the thousands of business owners who have multiple DBAs. How difficult can the coding be to allow for multiple logos? I've tried turning locations on and have adjusted the addresses and even that is not a viable option.

Here's how to add the logo on sales forms:

  1. Select the Gear icon on the Toolbar.
  2. To upload a logo to a new template, select the New Style button and choose Invoice, Sales Receipt or Estimate.
    NOTE: If you are updating the logo on an existing template, locate the desired template and select Edit.
  3. From the Design tab, select Make logo edits.
  4. Select the + sign to open the Logo gallery.
  5. Select + then locate and open the file.
  6. Choose your desired logo then Save.

Customize how the logo appears on sales forms

Here's how to customize how the logo appears on sales forms:

  1. Select the Gear icon on the Toolbar.
  2. Under Your Company, select Custom Form Styles.
  3. Find the form you wish to customize and select Edit in the Action column.
  4. Under the Design tab, select Make logo edits.
  5. Select Show logo.
  6. Select your desired logo size and placement.
  7. Select Done.

You can adjust the alignment (left, right, or middle) and size (small, medium or large) of your logo, but not the height and width since they are fixed.

Remove the logo from sales forms

Here's how to remove the logo from sales forms:

  1. Select the Gear icon on the Toolbar.
  2. Under Your Company, select Custom Form Styles.
  3. On the form, you wish to customize, select Edit.
  4. Under the Design tab, select Make logo edits, then Hide logo.
  5. Select Done.

It seems pointless to me to allow different invoice templates if you can't change company names, logos, etc.

We have been trying to get this feature--creating invoices with different logos in QuickBooks--for several years. This is absolutely necessary and Quickbooks should listen and add this as quick as possible.

I agree, this seems like a simple programming thing to have in one of the biggest small business accounting software programs in the US should have it! I have two DBA's under one LLC and need to be able to bill from both DBA's with their respective logos and information. I wonder why quickbooks has never done this?

This is all good and well and very easy. However, the company name is still the main company. It would be great if you are able to do something like CompanyName DBA OtherName.

 

For my situation, I just need to change logo and company name and nothing else. Or even hide my parent company name. Is that possible? As my DBA logo already has the DBA company name in it.

I have some information about creating an invoice template with a different logo and name. QuickBooks Online allows you to upload invoice templates made from scratch using Microsoft Word, this is known as the 'Import Styles' feature. Let me walk you through the steps.

 

Before you can import, you'll need to enable this feature by going to.

  1. Gear menu at the top.
  2. Select QuickBooks labs.
  3. Turn on Import Style. Then, hit Done.

After turning it on, you can now customize your own invoice template and the upload it on QBO. For the step-by-step process, check out this article: Import custom form styles for invoices or estimates.

How can I get the DBA name template to save? I've created several templates, but as soon as I save one ALL other templates get renamed to the company name used in the new template. How do I save templates with diff company names?

Since your templates are having some odd behavior, I recommend contacting our technical support team. Our tech support has the tools available to review your account in a secure environment and will investigate the issue further by remoting in to your computer to take a closer look. I've included some steps to contact support below. 

 

  1. Sign in to your QuickBooks Online company.
  2. Click on Help (?) at the top right.
  3. Enter your concern, then hit Let's talk.
  4. Tap Contact Us to connect with a live support agent.
  5. Choose a way to connect with us (Chat, Callback, Etc.).

I am not sure you can. I believe if you change the company name on the template; it changes it on all invoices period. At least that was my experience. My personal work around since I have another company that invoices once or twice a year and not worthy to have its own accounts, ect is making the template very simple and then use different company logos in the template design and remote the company name and any other info that is not the same; i.e. phone number, address, ect.

I don't believe you can. The company name changes all invoices across the board. Only way around it is to not use Company Name field and leave that for your Main Company or whichever one invoices more and for the second one do not use the name field and instead use a logo that is specific to that business.

 

I think that may help what you are trying to do.

This is the behavior I'm seeing as well in qbo. It's a deal breaker for us, we'll have to remain on PayPal until this feature is introduced. Very disappointing.

Utilize a free invoicing app as I mentioned earlier and a connector to duplicate the data into your QBO account. You can still accept payments by PayPal or other processors (e.g Stripe).

It's not complicated. We want to have different templates that are *actually* different.

 

You allow multiple templates but don't allow us to change anything MEANINGFUL on those templates... so what's the point of multiple templates, so I can send a blue one to customer A and a green one to customer B?

 

The current feature is so useless that it's laughable. And incredibly frustrating.

 

But, hey, I see you'll sell me time tracking now... how about addressing the user concerns on the product we're already paying for?

There is no such feature in QB Labs. Unless you have to do something first to make it show up.

I understand that you have a lot of templates and want to change some important information on them. Since the option is currently unavailable in QuickBooks Online, I encourage submitting feedback directly to our product engineers. They may look into this suggestion and consider adding the option in the future update. To send feedback, you can go to the Gear icon and select Feedback. Then, enter your suggestion and click Submit.

 

Please also know that all suggestions are being considered by our product engineers based on the volume of requests and their influence on the user interface before they are implemented.

 

You might also be interested in adding custom fields to your sales forms. This gives you more flexibility to add custom data and drive insights through detailed reports.
