Invoice number does not show on the payment line so you don't know what invoice was paid.
Payments do not have an invoice number on the same line. If you run the report for say Sept 2020 and a payment was received for an invoice from April 2020 you will not be able to figure out the invoice that was paid from this report.
OK, so we're back to... It's not a single clean simple report that shows the payments, and the invoice they paid.
You're showing and describing a multi-step process.
NOT ALL STAFF HAVE ACCESS TO QUICKBOOKS. Just because one person "can" figure out what invoice was paid, doesn't make this report and methodology meet the needs of a busy staff.
We need this simple report so we can print it to a PDF and distribute to people who need to know nothing more than what money came in, and what invoice it paid. No more, no less.
Please. On my knees begging.
And definitely not upgrading until we get that.
Hi Wendy,
Thank you for bringing this up.
My task is to update which invoices are paid within the day and which are not.
We have atleast 200 customers and 100plus of them are active. This report will be be a great help if there is.
To my dismay, why Desktop wasn't able to generate that report.
There is multiple thread about topic this topic, by why QB team do not give update on this.
This is a database. How is this feature not yet available.
Many companies rely on payments from multiple payers on the same invoice.
Without a report, we can't identify who has or has not paid.
Not getting paid is too often a result of not knowing who has or has not paid.
Getting paid is important!
Let me phrase a different request - for a Paid Invoices report - that can be filtered by date. We have an Open Invoices report, why not a Paid Invoices? The report we all need to disseminate to staff has nothing to do with the gross amount of the payment and everything to do with which invoices are paid, and when.
I've already tried modifying the Open Invoices report. If there's a way to generate a Paid Invoices report now, please, QB Peeps, provide that instruction and I will so totally shut up!
To the point made by many: The workaround of using the Memo field in the Payments screen only works if you receive payments one at a time. Receiving payments one at a time only works if you are small volume. Therefore even that isn't really a solution. We need a solution.
This seemed to give me the information I needed. In reports>Banking, I selected the deposit detail, hit customize, added filters Accouts = All, Amount = Any, Transaction type = Payment, Detail Level= All Except summary. I exported to excel and will have to manipulate to get the data lined up, but the check number with the applied invoices are there. We use Enterprise 2021.
I have to agree with the other posters. It is quite ridiculous that a company that now wants me spend another $400 to update (to Mac 2021) my software cannot, after YEARS, provide what seems like the simplest of functionalities. And when people do figure it out, it is a long and convoluted hack process that loses me half way through. If I wanted to be coder and create reports, that would be what I would do for a living. Not this. Scott
I think I'm going to have to go back to SAGE. Our old Peachtree software gives the report very easily. But since we already use QB because our clients do, I am trying to move our A/R to QB and I feel that there should be a filter for INVOICE #.
That should be easy and you could use it in any report you wanted.
I agree wholeheartedly.
The qb team really needs to stop giving this as an answer. It is just not the right answer. We need a simple payment reconciliation report that we can give our customers when check application gets off.
ie customers records and our records don't match and we need to hunt down what checks were applied to what invoices.
This should be a single report, or a way to make a custom report that does this in a well broken out format.
I suggest customer name, then a inset for each invoice, and an inset for each check/credit applied to that invoice. It should look quite a bit like the customer reconciliation report, but have invoices and payments that have been applied.
This is a very basic report, run monthly by every company out there. Make it happen. Don't tell us it can't be done, or give us a work around, just get us the report.
quickbooks do you plan on doing anything heres its so remedial, that a company youre size cant figure out how to do a report like the attached that my brother in law in a kitchen was able to do.
steps recommended by edc9500 in Dec worked to get the detail out, but the report is in an unusable format and seems to double up on the line items for some reason. it also includes subtotals that make no sense to even have on the report.
QB really needs to step it up to be able to get this simple data in a report.
The reports in QB are SOOOO limited it is QUITE FRUSTRATING!
and the advanced reports feature is also VERY user-UNFRIENDLY. then when you call QB to get support on the advanced reporting, they direct you to a data-building website they have, which is ALSO VERY user-UNFRIENDLY.
Once things settle down here I will DEFINITELY be looking for another platform to use because QB is not very accounting-friendly!
I'm in the same boat, trying to track payments from customers on multiple invoices over an 18 month period.
Where are you QuickBooks?? This thread is almost 2 years old and still no progress?!
I so agree. All other accounting software I use can do that but they aren't as good as Quickbooks with everything else.
Pathetic I'm upgrading this software for $400.
Assuming web is no longer tied to IE.
$400 so I can keep using my accountant?
Intuit you should be ashamed.
I bought qb 2021 and can verify this feature does not exist.
@qb staff, I think you are misunderstanding the question, or you don't have sufficient A/R experience. And that's not your fault. But we are frustrated because we don't feel like you are listening. Often what happens is customers will forget to pay an invoice, but think they did, then they get confused and want to know what they paid for. Anyone with access to quickbooks can go to the Customer Center and view this by double-clicking the invoices and payments. But we can't export this information and give it to the client so they can compare it to their books. The suggested workarounds only show a list of invoices and payments, but does not directly match an invoice *to* a payment. What we want is something like the below. You can see the payment on one side and the invoices it was applied to on another, then the remaining balance. There is no guess work or cut-and-paste in excel.
Payment Number | Payment Date | Payment Amount | Invoice Number | Invoice Date | Invoice Amount | Remaining Balance |
7277 | 4/19/2021 | 2405.25 | 27837 | 4/14/2021 | 1167.25 | 0.00 |

Any chance anyone has found a solution to this since 2019??
Your suggestion is the closest I've found to what I actually need... however, my issue is that several invoices were paid partially by check and partially by credit memos. Do you have any suggestions on how to run the report so that it will show payments and credit memos?
Hi, SB719.
I've got a way on what report you can pull up to show the payments and credit memos in QuickBooks Desktop.
QuickBooks offers two ways to show the transactions needed. You can either run a Quick report for the AR account from the Chart of Accounts or, pull up the Custom Transaction List report and filter it to invoices payments, credit memos, and checks manually. Then, you may export the report if needed.
Here are articles you can check that has detailed steps on customizing and exporting reports in QBDT for reference:
I'll lend a helping hand if you need anything else. Keep safe always, @SB719.
Option is still not available? How long does it take your Product Developers Team to read these? It's been 2 years now.
Still not what I am looking for. What we need is a report to list all payment with the invoices that that payment was applied to, much like the Transaction History - Payment, but able to list more than one payment, as shown below:
Customer Payment Date Number Payment amount
JQ Company 10/19/2021 11567 1120.00
INV0318 -600.00
INV0320 -520.00
or
JQ Company 09/19/2021 INV0318 1200.00
10/07/2021 CK#11567 -600.00
10/19/2021 CK #11711 -600.00
I understand how you want to see the list of payments with their invoices, TMHCMT.
We haven't received an update about this feature. Filters on the report are still the same.
