My invoice email format changed from a color design to basic text, how do I change back?

When I send invoices they used to look like this with a color format, now they look like the second photo. Capture.JPG

The template used when emailing invoices may have changed in QuickBooks Desktop (QBDT), @ErinIWW. Let's go to the Preferences window to correct this. I'm here to guide you how.

You may have updated your company's send form preferences to use the plain text format that's why the color design is changed. To change it back, here's how:

  1. Go to the Edit menu.
  2. Select Preferences.
  3. Choose the Send Forms option.
  4. Go to the My Preferences tab, then make sure to select the Auto-check the "Email Later" checkbox is customer's Preferred Delivery Method is e-mail option.
  5. Click OK.

I've attached a screenshot below that shows the last three steps.

Also, you're able to create custom templates for forms like invoices, sales receipts, estimates, statements, and purchase orders in QBDT. With this, you can control how they look and what information to include. To know more about this, you can refer to this article: Use and customize form templates.

Additionally, you can create custom fields to personalize and capture specific customer, vendor, employee, product, and service details. You can add them to your sales forms and reports to focus on the info that matters most to your business. You can check out this article for the complete details: Create and use custom fields in QuickBooks Desktop.

Let me know how it goes in the comments below. If you have other concerns about customizing and emailing invoices or inquiries about managing your sales transactions in QBDT, I'm just around to help. Take care always.

My invoice email format changed from a color design to basic text, how do I change back?

Hello!

Thank you for the suggestion. I followed those instructions, found it was still set properly so I set it to plain text instead, selected OK, and then went back in and changed it back to the proper setting and selected OK again, but it still looks like same.

Thanks for coming back, @ErinIWW. I appreciate you for following the steps shared by my colleague.

When we see unusual behavior such as being unable to change the settings of your invoice template, we check the file for potential data issues. At this point, I'd recommend you run the Verify and Rebuild tool to fix it.

Here's how:

  1. From the File menu, select Utilities
  2. Choose Rebuild Data, then select OK if you receive a prompt to back up your company file.
  3. Select Close or View Results when you get the message Rebuild has completed and proceed with the next step.
  4. Go back to File, then Utilities and select Verify Data this time.
  5. Should the Verify find an issue with your data, you will be prompted to Rebuild Now or View Errors.
