QuickBooks Desktop Bill Pay "powered by Melio"

tl;dr - There is no guide on how to properly set up a user to use the new QB desktop bill pay. There are guides on how to use it, but nothing showing how to give access to any particular user.

 

I have gone back and forth with a most unhelpful person reached at the "support at qbdtusers.melio.com" email with the following issue: I am trying to take my existing AP person and give them access to pay bills with the new fancy desktop bill pay "powered by melio." 

 

The issues seems to stem from the fact that there are two roles assigned to all users - one is the Company file role (assigned to roles within QB) and the Intuit account role (assigned via Merchant Services to have access to payroll, bill pay, etc). For this discussion assume the following - I am the full admin in the company role and full admin in the Intuit account role. Below is a screen shot of my AP person's roles. Their company role is the standard QB role of "accountant" and their assigned Intuit role is payroll processor and Full Admin on the payment side.

I have been able to make the new bill pay work with my login so I know it works (and I love the ease of it!). My AP person, on the other hand, gets the message that they are unable to access since they do not have the required permissions. The "support" person keeps telling me the user needs to be a full admin without answering which of the two roles the user needs to have full admin rights in.

 

Either A) in order to have access the user needs to have full admin rights in the Company file, or B) the user needs full admin within the Intuit account role (which mine has), there has to be some additional access rights granted under their Company role and that is what I am seeking.

 

I have a hard time believing A is true. If so, QB really messed up. No one in their right mind would give a payables person full admin rights in the company file. That would make this essentially worthless to anyone with an accounting staff with users with restricted access rights.

Yes, the option to add a user to be able to process payment through Bill Pay "powered by Melio" needs to have an Admin role of your company file. For now, I suggest submitting feedback directly to our product engineers about being able to add users without granting them as an admin. They may look into this suggestion and consider adding the option in the future update. 

 

To submit feedback, you can go to the Help menu and select Send Feedback Online.

 

You might also want to visit our feedback forum to check the recent updates made in QuickBooks.

 

Please know that the Community forum is always open if you need further assistance running reports in QuickBooks Desktop. Have a good one.

Talk about a decision made by committee......No one should be granting admin access to a bookkeeper or staff accountant just so they can pay bills online. This feature has such potential to be great and you have seriously limited its functionality. The new version of QB already has several new great levels of bill approval process. Those should work in conjunction with this new bill pay option and give the admin and business owners plenty of assurances that proper procedures are being followed. 

 

I would also suggest you put together a user set up support article. There is nothing official (other than searching other user questions) about how to properly set up users for this.

 

Starting tomorrow, I am going to submit daily feedback on this issue. I suggest anyone that stumbles upon this support thread do the same. Quickbooks has made a ridiculous decision with this and needs to change it asap.

Desktop. We are on QB Enterprise on a Windows server. Everything is up to date as far as we know. We can't even see the options to use Melio and do not seem to get anywhere with QB Support.

Don't sweat it. The instructions below will help you set up the Bill Pay service powered by Melio. This way, you can pay bills online directly from QuickBooks with just a few clicks.
 

Here's how:

 

  1. Head to Vendors and then Vendor Center.
  2. Select the vendor and then the bill you like to pay.
  3. From the Enter Bills window, click Schedule Online Payment. This will connect you to the QuickBooks Bill Pay service.
  4. Sign in as the admin and click Continue.
  5. Enter your user ID and password, then Sign in.
  6. Click Continue to set up how you want to pa.
  7. Enter your payment details and Continue.
  8. Enter any missing info and click Complete and save, then Done.
  9. Select the matching payment account in QuickBooks to link with your payment method, then Link my debit card.
  10. Choose how your vendors will receive your payments. Then, follow the on-screen instructions.
     

Your vendor will get an email when you schedule a payment. Then, you'll get an email when it's paid. The following articles provide more info about this feature and include detailed steps to pay your vendors using the Pay Bills and Write Checks window:

Which version of QB Enterprise Desktop will Bill Pay powered by Melio work with? I am using QB Enterprise: Contractor 21.0 and I am unable to link QB to Melio.

You can only able to utilize the bill payment feature powered by Melio on QBD 2022. But I would not recommend upgrading your QBD Enterprise 2021 to 2022 for now. I would recommend opening a separate Melio account for free to pay your bills even if it doesn't sync automatically. You'll have to wait until the release of QBD 2023 in October to weigh your options.

Bill Pay does not allow you to take vendor prompt pay discounts or apply credits to open invoices, correct?  So is there a workaround to be able to use Bill Pay and still get discounts and use credits?

Your best option is to signup for a separate Melio account for free to pay your bills and register the transactions manually in your QuickBooks.

I've reviewed our list of upcoming webinars and can confirm there's currently none about Bill Pay by Melio. I'd be more than happy to share some details about how the feature works.
 

Bill Pay, powered by Melio, is currently available for all 2022 versions of Pro Plus, Premier Plus, Premier Accountant, Enterprise, and Enterprise Accountant. It can also be used in the Mac Plus version of 2023. This feature enables you to manage your cash flow by providing more flexibility. You'll be able to pay bills directly from QuickBooks with a bank account, debit, or credit card. You can also choose how your vendors receive their payments, either by ACH or check.


The feature will keep you updated about your payment status. You'll receive notification emails when payments are scheduled and when they begin to process. Vendors also receive notifications when a payment is sent. Emails will be sent to the address that was used to create your Intuit account.

When can we expect this feature to be incorporated into Quickbooks Bill Pay? 90% of the bills that we pay are using a prompt pay discount, and it is burdensome to go through the bank's bill pay process to execute this for these invoices. If you have suggestions for work-arounds (e.g., manual adjustments to bills, journal entries), that would be helpful.

For now, there's no option to apply discounts when paying bills using the QuickBooks Bill Pay Service. 

 

As work around, you can edit the bill add a second line to add the early payment discount. Here' show: 

 

  1. Open the bill that you're trying to pay.
  2. Go to the second or last line and proceed to the Account column.
  3. Click the drop-down list and select Add new.
  4. Select Income or the type of account that you want, then click Continue.
  5. Enter the name of the account and select Save and close.
  6. Proceed to the Amount column and enter the discount in a negative number.
  7. Click Recalculate.

 

 

This will lower down the amount of the bill that you will be paying using QuickBooks Bill Pay. 

 

For now, there's no turn around time when this feature will be available when paying bills online. Please know that customer suggestions are always welcome and evaluated when new updates are designed.

 

I would recommend sending a feature request about this to our product engineers. Here's how: 

 

  1. Go to the Help menu.
  2. Select Send Feedback Online, then click Product Suggestion.
