remote employee printing checks

I have a remote employee that needs to be able to print checks. I don't want that employee to have access to QBO so I want to be able to create a check and email it to them so they can print it. Any ideas how to do this securely?

remote employee printing checks

Hello there, James!

I'm here to help you allow your employees to print checks outside QuickBooks by sharing possible scenarios I could think of.

Are you referring to printing their payroll check outside QuickBooks? If so, this option isn't available since the paycheck should be printed within QuickBooks after processing payroll. However, you can invite your employees to QuickBooks Workforce to print their own pay stubs and W-2s online. Here's how:

  1. Sign in to your QuickBooks Online (QBO) account.
  2. Click Payroll from the left menu, then select Employees.
  3. Select Invite to Workforce.
  4. Check the boxes next to the names of the employees you want to invite and enter their email addresses.
  5. Click Send invitations once finished.

Your employee will receive an email with a link to set up and use QuickBooks Workforce.

I'm adding this article for more guidance: Invite your employees to QuickBooks Workforce to see pay stubs, W-2s, and more if you use QuickBooks Online Payroll.

If you're referring to created checks, you can download the check and send it to your employee outside QuickBooks. This way, they can print it on their own. Let me guide you how.

  1. Click the + New button, then select Check.
  2. Enter the necessary information and click Print check.
  3. Select the check you want to download, then choose Preview and print.
  4. In the Print preview window, click the Download icon.
  5. Send the downloaded PDF file to your employees using your personal email.

Just in case you encounter alignment issues when printing checks, you can check out this article to learn how to fix it: Print or reprint paychecks and pay stubs.

Don't hesitate to leave a comment below if you have other concerns or follow-up questions about printing checks. I'll be around to provide further assistance.
